Key Accountabilities

  • Assist HSE&F Manager in obtaining and maintaining ISO Standards.
  • Collection and data entry of equipment preop checks.
  • Maintenance of SHE Notice Boards.
  • Management of Near Miss Reporting.
  • Management of Safety Conversations
  • Carry out regular H&S Walks / Audits.
  • Coordination of Site Risk Assessments.
  • Be an active member in Accident and Incident Investigations.
  • Administration of Statutory Documentation.
  • Assist in site medicals and referrals.
  • Deputise for HSE&F Manager in their absence.
  • Providing ad hoc administration support to the HSE&F Manager including minute taking
  • Developing and maintaining effective working relationships with relevant internal and external departments and employees.
  • Offering support and advice to the Operations team regarding investigations.
  • Contractor management carryout contractor inductions, issue permits, etc.
  • First aid stock control of site first aid supplies.
  • Assist administration of Training files and document.
  • General site activities as guided by Line Manager or Operations team.

Measures

  • Areas of focus will result in a positive outcome in the Group Health Check Audit.
  • Administration is actioned in a timely manner.
  • PPE is appropriate for work activities.
  • All records are up to date and in line with company and statutory requirements.
  • Effective working relationships are quickly developed and maintained, as is the knowledge of both our structure, personnel and that of our customers.
  • Colleague training files are consistently up to date.
  • Site training matrix is consistently up to date.
  • All site medicals and referrals are completed in a timely manner and the results communicated to the appropriate departments.
  • Equipment preop checks are collected daily, and information entered.
  • SHE notices boards are regularly updated with the most up to date information.
  • Near Misses reports are appropriately managed.
Safety Conversations are appropriately managed.

  • All Site Risk Assessments are completed in a timely manner and the results are communicated to the appropriate departments.
  • Incident Reports are escalated to HSE&F Manager where necessary.
  • All permits are appropriately managed.
  • All first aid equipment is appropriately managed

Competencies

  • Will have a good working knowledge of Word, Excel and Outlook.
  • Strong administration skills including attention to detail, timeliness and accuracy.
  • Ability to work under pressure and to tight deadlines.
  • Level 3 Health and Safety Qualification (NEBOSH Certificate / NVQ Level 3).
  • Must be a confident communicator.
  • Experience of working in a fastpaced environment would be advantageous.
  • Experience of working in a Transport environment would be advantageous.
  • Will be able to use their initiative and work with mínimal supervision.
  • Will have the ability to handle multiple tasks, with evidence of successful outcomes.
  • Will be an excellent communicator, both verbal and written.
  • Must be able to demonstrate a flexible and adaptable approach to work.
