Utopia Distribution Services is the logistics arm of a global business at the very heart of Music and Entertainment. Currently based in Aylesbury, but in the process of transferring to a purpose designed site on the Aylesbury side of Bicester, we distribute physical entertainment product for Sony, Warners, Universal, and many other global music brands, along with Paramount Pictures, Studio Canal, Sony Pictures, and a number of other well established Studios. Key Purpose of Role:


The focus of the role is to build excellent working relationships, between Utopia Distribution Services and their Clients, ensuring the account runs smoothly and efficiently across all areas of the supply chain.


The Commercial Services Executive should become the Client's representative onsite ensuring that their needs are met, whilst maintaining Utopia Distribution Services costs and efficiency levels.

A strong Customer Service or Account Management background is required and previous experience in a Logistics/Supply Chain environment would be preferred but not essential

A good level of Excel knowledge would be of benefit although not essential.

This is a permanent role, working 35 hours per week, between the hours of 9am to 5pm.


Key Duties
Maintain the Studio Client's article master data using in house management systems.

To maintain all aspects of the Client Services database.

Process, check and manage orders within our system.


Facilitate special packaging requirements on behalf of the Studio Clients, liaising with our internal customers to ensure that stock and parts are ready in time where required.


To obtain New Release & Campaign forecasts from the Client, to enable the New Release call-off, early deliveries & Irish orders in line the Studio Client and Customer requirements, monitoring stock levels/orders as required.

Manage the New Release call-off process in conjunction with Planning & Operations.

Collate forecast figures for each up and coming sales quarter.


Manage Client requests in line with the service agreement, referring to Operations where appropriate including inventory requests ie scrapping, returns and return to vendor.


To handle all Studio Client requests in line with the service level agreement (SLA), referring to relevant internal departments, managing Client expectations and where appropriate considering any additional charges that need to be applied.


To engage with other areas of the Commercial Services team, to ensure there is a linked-up approach across the team to meet our Studio Client requirements and expectations.

Collate information from the business to produce and present monthly KPI figures.

To attend and facilitate regular internal meetings. There will also be requirement to attend & facilitate regular Studio Client meetings and conference calls.


To attain a level of independent decision making and to provide other ad hoc duties as required across the teams including the DTC (Direct to Consumer ) clients and their requirements.

Work in a flexible team covering all aspects of the role, as well as providing holiday cover for other members of the team across all clients


The environment is fast paced and so the ability to manage change is important as the landscape of the industry constantly evolving.


Key Accountabilities


To communicate pro-actively & effectively with all clients and customers across the supply chain, including manufacturers and 3rd parties if circumstances dictate.

Liaise with internal and external contacts to ensure the smooth & efficient running of the Client's account, ensuring that SLA's are achieved or exceeded


Experience & Skills

  • 2 Years Client or Customer facing role experience
  • Supply chain experience beneficial
  • Excel competence along with ability to learn inhouse systems
  • Ability to work as part of a team but also be individually driven and accountable
