We are currently recruiting for a an Executive Assistant to join our client AWE on a 6-month basis.

Their role in nuclear deterrence and their specialist technical assistance to nuclear threat reduction is vital in the defence against the most serious threats faced by the UK.

As an Executive Assistant, your main responsibilities would be to:

  • Provide sophisticated calendar management for CEO. Prioritise inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritise and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO's style and organisation policy
  • Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated. Anticipate CEO's needs in advance of meetings, conferences, etc
  • Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team
  • Provide event management support as requested
  • Provide hospitality to all guests and help to create a welcoming environment
  • Invest in building longlasting relationships both externally and internally
  • Other projects/duties as assigned for the overall benefit of the organisation
  • Ensure that the CEO is always in the right place, at the right time and properly briefed/equipped with the right information to deliver their role
  • Full and proactive management of the CEOs diary, appointments, travel bookings and itinerary
  • Full and proactive management of the CEO "inbox" through effective and efficient management of tasks.
  • Act as a central point of contact and main interface for the CEO; liaising with all exec (and nonexec) directors and external senior stakeholders as necessary
  • Proactively obtaining and providing timely, relevant and accurate information / reports to and from the CEO
  • Efficiently & effectively organise and manage the CEO diary via MS Outlook, including complex travel itineraries
  • Review, prioritise and deal directly with all CEO correspondence
  • Professional telephone answering including call screening & forwarding calls as appropriate.
  • Proactively coordinate arrangements for presentations to, and by, the CEO

Essential:


  • You have worked in a similar role and can hit the ground running
  • Extensive experience in Diary Management
  • You will hold experience of dealing with High Level Stakeholders daily
  • Extensive experience in Sensitive Inbox Management
  • Ability to work well within a crossfunctional team environment and diverse communities
  • Ensure highly professional relationships are built and maintained with external and internal stakeholders
  • Act as a role model displaying professionalism and exemplar behaviours to the organisation
  • Ensure that best practice is shared professionally with peers and the wider EA capability
  • Maintain and promote high personal standards in environment, safety, health, security and quality Work Environment
  • Thrive in an intense, doityourself, startup environment

Essential Requirements

  • DV/SC Clearance is an essential requirement for this role
