Our client is looking for a Board Secretary & PA for a permanent position, located in Aberdeen.


Role
The purpose of this job is to provide secretarial and administration support to the Main Company Board and the Digital Tech Sector Board, and PA support to the Commercial Director and Director Digital Tech


Responsibilities

Board Secretary - Main Board and Digital Tech Sector Board

  • Maintain a schedule for Board meetings to support the team to prepare Board agendas and papers within the required time schedule
  • Coordinate preparation of CEO update and operational updates for board meetings
  • Prepare, format and issue Board papers and agendas
  • Attend and take minutes of Board Meetings
  • Produce and distribute Board minutes
  • Arrange catering for Board meetings
  • General communication with Board members
  • Arrange and prepare inductions for new Board members
  • Monitor key company governance dates, including appointment, reappointment and resignation dates of Board members
  • Coordinate annual review of Board Terms of Reference and support Company Secretary in all other company governance matters as requested
  • Provide cover for Admin colleagues at other sector Board meetings as requested
  • Maintain schedule of board meeting dates for all Boards
  • Any other duties as reasonably requested by management

PA to Commercial Director and Director Digital Tech

  • Organise appointments and meetings as requested
  • Prepare correspondence and typing as required
  • Organise travel and accommodation as required

General Admin

  • Receive and provide support for visitors at 11 Queens Gardens
  • Maintain meeting room diaries
  • Prepare presentations
  • Photocopying and scanning of documents
  • Coordinate catering arrangements for meetings as appropriate
  • Organise meetings and appointments as required
  • Provide admin support for Leadership Team members as required
  • Ahhoc support and cover for other Administrators within the business for reasons of absence/annual leave
  • Any other duties as reasonably requested by management

Requirements:


  • Experience of working in a senior administration role
  • Experience of working as a Board PA
  • Experience of producing Board Reports
  • Proficiency in MS Office, Word, Excel and PowerPoint
  • Ability to take and produce minutes
  • Excellent time management skills and ability to multitask and prioritise work
  • Ability to be flexible in working hours
  • Attention to detail and problem solving
  • Excellent written and verbal communication skills
  • Strong organisational and planning skills
  • A strong cultural fit and commitment to the values and ethos of the business
