Description

We are looking for someone to join our People (HR) team to support with onboarding the best-in-class talent across our European offices.

You will work collaboratively with the People and Talent team, as well as with key stakeholders across the business.

The People Assistant will be responsible for providing efficient and effective generalist HR administration and guidance to support Assembly with all aspects of the Employee Lifecycle.

Along with supporting the People and Talent team with several tasks including employment contracts, onboarding of new employees, off-boarding, reporting and more, ensuring the business follows a process in line with compliance.


Responsibilities:

HR

  • First point of contact for any People related queries across Europe that come through our ticketing system. Taking full ownership of the HR ticketing system and ensuring queries are responded in a timely manner and escalating to the wider team where necessary.
  • Ensure all hiring and employment data is kept up to date, accurate and stored in the necessary places.
  • Partnering with the Talent team to process new hires.
  • Manage the full onboarding process for European markets (sending out new joiner paperwork, managing and conducting the induction process, collating new joiner passports, liaising with IT for system set ups,).
  • Diary management for the onboarding schedule for new starters.
  • Responding to all incoming and outcoming reference checks.
  • Ensuring contractual changes in employment documentation across all European markets are up to date within templates.
  • Maintenance of our HRIS system HiBob/UKG ensuring all information is kept up to date and accurate.
  • Preparing all contractual changes documentation for employee (probations, promotions, contract amendments, salary increases, leaver letters etc)
  • Tracking and prompting end of probationary and confirmation letters.
  • General support for the wider team with administration, initiatives, and projects.
  • Review and update People policies and benefits.
Payroll & HR Operations

  • Partner with our global Payroll team to provide accurate data entry for payroll submission monthly for all European offices.
  • Responsible for being the main contact between payroll and employees for payroll queries.
  • Full ownership of the master payroll query tracker, ensuring it's always up to date with accurate data.
  • Responsible for all market payroll admin (inc liaising with Italian and Irish outsourced Payroll providers).
  • Responsible for processing all benefits related admin (removing starters and leavers) and being the main contact with our benefit providers.
  • Responsible for processing benefits specifically relating to each European market (lunch allowances, healthcare etc).
  • Support with pension administration.
  • Administration and processing of annual salary reviews twice per year.
  • Running regular and ad hoc data reports for the wider team and business (sickness, holidays, salary etc)

Requirements:

We're looking for someone personable, who is proactive and resourceful, with good attention to detail.

Prior experience within a HR function is essential, and knowledge of employment law and related topics would be beneficial but not essential.


  • 1+ experience in an adminfocused role within HR
  • An exceptional communicator you'll be selfassured when liaising with colleagues and new starters at all levels
  • Proactivity and attentiondetail will be key for this role
  • We're looking for someone who is focused and resultsdriven, with plenty of selfmotivation and initiative
  • A high level of attention to detail with good numeracy skills
  • Time management and prioritisation skills are essential
