Job Title:
Administrative Assistant


Job Location:20 St Ann's Square, M2 7HG


Reporting to:
Chief Executive


Hours of Work:
Part Time, 21 hours a week, as agreed to be worked normally between 8:30 a.m. to 4:30 p.m. excluding lunch
Tuesday Wednesday and Thursday.
Some out of hours work may occasionally be required.


Salary:
(FT hours) at £19,105 rising to £19,869 per annum on satisfactory completion of probationary period (normally after 6 months). Please note this role will be paid on a Pro Rata basis for part time hours.


PURPOSE OF JOB (as set out in the draft contract of employment)
a.

To support the work of the team in which the post is located by performing a wide range of administrative duties as required by the section head.

b. To take responsibility for issuing personnel contracts and associated tasks involved in the recruitment of new staff.

d.

To maintain personnel records correctly and in a timely manner and manage the storage of those records so that those authorised (and only those authorised) may have access to them.

e.

To make a positive and cheerful contribution to the work of an organisation that seeks to improve the lives of older people.

f. To ensure that the Equal Opportunities and Health and Safety policies of Age Concern


TASKS

  • Develop a working knowledge of the personnel systems of the organisation, using them effectively and contributing to their continuous improvement.
  • To handle the administration of personnel issues, including the production of personnel contracts, advertising jobs and the processing of DBS checks.
  • Effectively manage current personnel files, ensuring the destruction of past personnel files following the statutory retention periods of the employment practice code.
  • To assist with monitoring and updating the staff database.
  • Assist the team with preparation for meetings and occasional note taking
  • Assist the team with general duties associated with the operation of a charitable organisation
  • To assist as required with weekly activity reporting figures from across the organisation and accurately update excel spreadsheets in relation to this.
  • Any other duties as requested by the management team.
