Main Purpose of the Job**
Main duties
- Provide support to project directors and project managers
- Prepare job setup documentation
- Manage and keep up to date Project Management Plans
- Project document control including archiving.
- Preparation and submission of project invoices.
- Track progress of invoices until paid and keep PM notified
- Preparation, formatting, and presentation of project documents
- Supporting teams with bid activities when required.
- Assist in ensuring H&S requirements are met by project team
- Maintain compliance with all projects related BMS requirements.
General Administrator duties:
- Daytoday administrative tasks such as photocopying and scanning
- Greet and welcome guests as soon as they arrive at the office
- Answer, screen and forward incoming phone calls
- Receive, sort and distribute daily mail/deliveries
- Ordering and maintaining stationery and equipment supplies arranging for confidential waste to be shredded
- Maintaining a safe and clean office area
- Ensuring the weekly delivery of milks, teas, coffees etc
- Diary Management for the management team within the office
- Organising of events; room bookings and refreshments
- Local health and safety coordinator role
Preparation of key documents and correspondence
- Ensuring compliance with the Business Management System, where required
- Organisation and Maintenance of case file documentation
- Preparation of relevant invoices, and arrangement of payment.
