We're seeking a future team member for the role of Senior Admin Assistant / EA to join our Pershing EMEA team.

Pershing provides a broad range of financial business solutions to investment banks, broker-dealers, wealth managers, financial planners and advisers across EMEA.

We provide sophisticated front-end technology and flexible middle office capabilities with execution, settlement and custody services. These are supported by a robust regulatory and compliance framework with dedicated client asset experience and expertise.
This role is located in Liverpool - Hybrid working.


In this role, you'll make an impact in the following ways:
Works autonomously to perform advanced Exec Support activities including expenses, travel bookings and minute taking without supervision.

Regularly writes content and produces documentation of a management standard ranging from business justifications, to PowerPoint slides for presentations to intranet blogs on a range of topics.

Proactively owns the co-ordination of management/business activities required on an annual basis.

This could include scheduling meetings for management in regards to PMPs, Skip Levels, Recruitment days and Town Halls, ensuring that deadlines are met and meetings are booked to allowing adequate time for process completion.

Responsible for tasks such as the upkeep of the monthly headcount, org charts, monitoring of all new recruits, set up of new hire requisitions (temp and perm)
Minute taking and action tracking for designated meetings, producing minutes and documentation for distribution that requires no/mínimal correction.
Co-ordinates Operations management on Director lead initiatives ensuring delivery dates and standards met.
Responsible for independently producing agendas, board packs, documentation for meetings in advance of meeting date without reminder.
Responsible for the scheduling, room booking, VC co-ordination of CSD meetings across the UK, Jersey, Dublin and India.
Upkeep and maintenance of any required management MI (including recruitment/turnover data).
Acts as cover minute taker for other meetings.
Acts as liaison with external suppliers as required.
Responds/co-ordinates responses to requests from Pershing EMEA, Pershing US, BNY Mellon and other group companies.
Administrative support around projects.
Helping to maintain Business continuity and disaster recovery documentation.
Records management.
Provide onboarding support for new hires.


To be successful in this role, we're seeking the following:

Must have extensive EA experience (incl minute taking) plus experience either of staff management, a task/project-based workload or matrix management.

Must have experience of proactively arranging expenses, meeting packs and agendas without instruction. Must be able to anticipate forthcoming meeting changes/requirements and categorise urgency.
Must have experience of writing and producing documentation of a management standard and running projects/responsibilities.

Must be able to evidence experience of liaison with management in order to chase and close down actions, source documentation in advance of meetings and monitor adherence to policy.
