The role in more detail:
- Managing the daily opening of the building and being front of house for hearings and committee / council meetings
- Managing schedules, organising and coordinating inhouse events
- Planning, organising and set up of lunches and refreshments for board member meetings.
- Managing incoming mail (scanning and electronic forwarding)
- Office stationery stock management
- Meeting room management and floor plan designing
- Managing onsite health and safety compliance including risk assessments.
- Managing services and implementing facilities programme including maintenance.
- Managing invoicing process and making sure all costs have been authorised by the relevant head of department.
- Liaising with staff and board equivalent up to senior level to manage payment of invoices, challenge and follow up.
- IOSH qualification or equivalent desirable
- Experience (12 years) with front of house/Facilities coordinating.
- Interested in finance/accounts administration and processes.
- Experience in setting up meeting rooms/ organising lunches and refreshments.
- Experience in working in Health & Safety.
- Strong working relationships with all levels of staff and management
