Job Specification for LCVYS Administration and Finance Officer

LCVYS is the key voluntary youth sector infrastructure body in the County and needs a good basic admin and finance person with a sense of humour and reliability who can work flexibly across the tasks shown in the job description.


To support across a variety of administrative and clerical functions, including but not limited to meeting support, data entry, general office support and completion of defined service tasks.

The duties of this post will be carried out under contract and will include the following duties:

  • ADMIN Support
  • To provide a high quality customer service to both internal and external customers and promote Equality and Diversity at all times. Coordinate effective communication and good working relationships with meeting, chairs and multiagency partners.
  • Operate and update the membership, training and grant aid database
  • Operate and update the communications list in accordance to GDPR
  • Send out and receive renewals and new membership forms
  • Send out invoices for membership
  • Typing services, filing, photocopying and telephone cover and reception Duties
  • Compilation of performance information
  • Data Entry
  • Update Websites (Word Press) and Social Media sites Facebook, Twitter etc
  • Create Newsletters and distribute through Mail Chimp
  • Carry out enquiries on behalf of the Executive Committee or the Council
  • Assist Member organisations to obtain relevant information
  • Pass on relevant information
Meetings

  • Send out notification of meetings to members of the Trustees, representatives of other bodies and invited guests as appropriate.
  • Book venues, provide suitable refreshments, ensure that any equipment needed is provided and in good working order.
  • Send out appropriate agenda agreed with the Chair person and Development Officer.
  • To produce notes, actions or minutes that are of a high standard in presentation, accurately recorded and the detail such meetings within agreed standards and timescales.
  • Prepare the required documentation before and after meetings.
  • Where necessary liaise with appropriate personnel to schedule meetings.
  • Arranging training/meetings and supporting facilitation of these

AGM

  • Duties as above
  • Ensure that the correct notification of the
    AGM is made in good time and in the appropriate manner
  • Ensure all relevant paperwork is available
  • Upload Annual report and finances to Charity Commissioning websites
  • Record attendance and take minutes

FINANCE

  • To prepare monthly accounts.
  • Invoice for Membership fees
  • Raise invoices and remittance advice
  • Prepare finance reports for Trustee meetings.
  • Prepare Annual Financial report.


Of course you wont be doing all of these things at once but there will be very busy times and not so busy as in most organisations and you will have induction support about the work.

You will also have the chance to meet and work with interesting people across the sector knowing that you will be supporting lively independent voluntary youth services survive and thrive in Lincolnshire.

Our offices are in Waddington, Lincoln and occasional work elsewhere.

Other Duties

To carry out other appropriate duties agreed by LCVYS Development Officer or Chair Person on behalf of the Trustees.

Support the by LCVYS Development Officer, Chair Person, Trustees in the execution of their duties

To provide flexible cover and support to other teams where business need occurs.

Pay:
From £13.00 per hour

Expected hours: 15 per week
