Position Summary


Working as a member of the Communications Research department within Samsung Electronics R&D Institute UK (SRUK), and assisting other departments in line with the needs of the Company, the job's main purpose is two-fold:1.

(around 70% of the time), to provide administrative and organizational support to SRUK Patent Manager in managing SRUK's patent portfolio and maintaining effective communication with Samsung Korea Intellectual Property (IP) team / our patent attorneys (who may be based in the UK or abroad);
2.

(around 30% of the time) to provide administrative support to SRUK's Finance Manager in handling various external research project grants such as those awarded to SRUK by the European Union.

Role and Responsibilities

Under the guidance of the Line Manager, the jobholder is expected to perform (but is not limited to) the following tasks:
  • Set up alerts and action points, and enhance it as and when needed to meet any future procedural changes
  • Monitor various deadlines as set by the patent attorneys / various patent offices / Samsung Korea HQ IP team, and pro
  • actively collect input from inventors and SRUK Patent Manager so that these deadlines are met
  • Develop a close partnership with the internal stakeholders (Samsung Korea IP team, our network of inventors), build trust and understanding, suggest process enhancements
  • Assist SRUK Patent Manager in organizing internal workshops and lectures
  • Assist SRUK Patent Manager in providing in a timely fashion, well
  • structured, accurate and complete reports on the internal and external processes and their implementation within SRUK.

Financed related tasks as follows:

  • Submit claims to UKRI for projects
  • Calculate claims for UK grant claims for submission / approval by UK Government, UKRI, using information from payroll, GTNE (Expense management system). Agreeing with project leads the claim amount to submit.
  • Calculate forecasts for projects in agreement with the project leads
  • Attend meetings with UKRI & project leads to evidence grant claims
  • Answer queries as required
  • Provide project modifications to partners on request with updates on costs/breakdown of spend vs budget.
  • Checks costs vs timesheet hours and advise finance of any amounts to journal
  • Review financials and agree with finance team the budget for new projects.


Skills and Qualifications- Background in Engineering, Computer Science, Electronics, Natural Science, Mathematics, or any other related discipline, through study or work (in technical or administrative/supporting roles) in these fields is appreciated.- Extensive and demonstrable experience in administrative, co-ordination and office management duties, preferably with some experience working as an administrator within legal and/or financial teams.

Background in patent and IP administration is appreciated.- Expert user of Microsoft Office, possessing demonstrable advanced Excel and Outlook skills.- Outstanding organizational, tracking and archiving skills.

Ability to work with changing deadlines, and requirements for short response times within a multi-tasking role.- Excellent interpersonal skills, demonstrable ability to work within a large and diverse team.- Self-motivation and ability to work as part of a team or alone, managing own work, ability to juggle multiple tasks, meet multiple - often tight - deadlines, and setting sensible priorities according to perceived requirements.- Ability to learn and implement Samsung corporate business philosophies.

Ability to work in a multi-cultural environment. Occasional work across time zones (e.g. with colleagues in other Samsung research centres, patent offices overseas) is required.

Standard working week will be 3 days onsite and 2 days working from home
