What we're looking for
We are currently looking for a company secretarial assistant to join our global company secretarial team.


This is an excellent opportunity for an organised, analytical, and enthusiastic individual to develop an understanding of company secretarial compliance covering various global locations.


You will have a passion for communicating with various stakeholders in a global business and will relish the prospect of providing support as part of a small company secretarial team.


Key Responsibilities**- Provide administration support in maintaining up to date and accurate share registers for the Group's Parent and Subsidiary companies.

  • Assist with periodic statutory filings, partnering with external service providers where required.
  • Producing share certificates and periodic dividend vouchers.
  • Provide support with the administration and reconciliation of shareholder loans.
  • Support the team with day to day company secretarial filings, including officer appointments, resignations, changes of registered address, name changes and change of accounting reference dates.
  • Collaborate with global sales and finance teams to collate and submit KYC information as required by clients, banks, regulatory bodies and vendors.
  • Engage with various global finance and operational teams to support the Group insurance annual renewal process and the day to day management of the global insurance portfolio.
  • Support the gathering and analysis of global data for use in insurance quotations.
  • Assist with insurance claim processes.
  • Support the insurance needs of our Conference team.
  • Support employees globally with travel insurance planning and queries.
  • Assist with the timely payment of group and subsidiary insurance invoices.
  • Maintain accurate filing of group insurance policies and supporting documents.
  • Support the Senior Company Secretarial & Insurance Manager with adhoc projects as required.

Skills and
Experience**- Bachelor's Degree in Law/English/equivalent

  • Working knowledge of Word and Excel, and excellent Mail merge skills.
  • High level of accuracy and excellent attention to detail.
  • Good analytical and numerical skills.
  • Ability to collate and present relevant data and information.
  • A proactive and highly organized individual.
  • Excellent time management skills, able to prioritise tasks and work to tight deadlines.
  • Excellent communicator who can develop and maintain effective working relationships.
  • Brings a positive and helpful approach and partners well with people at all levels within the organization.
  • Works well with external parties as necessary as part of a global team.
  • Experience of supporting an annual insurance renewal process and processing insurance claims.
  • Experience of Oracle NetSuite and NetLoan desirable.
  • Experience of previous company secretarial administration desirable.
