Purpose of Role
This role will form a part of our Technical Services division.


You will be responsible for delivering a high standard of production and technical support to a wide range of performances across various genres of activity.


Organisational relationships

Line Manager:_ Head of Technical Services

Key Relationships:_Technical & Production Teams, HR, Payroll, Operations.

External Relationships:_Casual crew and Freelancers


Location


You will be based at both Perth Concert Hall and Perth Theatre and will be required to work across both spaces.


Duties and Responsibilities
Arranging appointments and meetings internally and externally for the team, including booking meeting space as needed. Servicing meetings or make arrangements for meetings to be serviced as required including minute taking.

To manage the crew database, book casual crew and ensure cover for all casual crew requirements.

Organising travel, produce itineraries, book tickets, and arrange accommodation and per diems for the technical teams.


Updating systems pre, during and post event to ensure that working hours and billing information is accurate and that changes to schedules are communicated.


Maintaining and managing the team's filing and archiving system, including the collection of PRS forms, training records, induction records and safety inductions.

Ensuring all new starter paperwork is completed and returned to HR and/or payroll including right to work checks, chasing agent and staff a necessary.


Assist with the collection of incoming show information and keeping the company diary up to date and distribute information where required.


In conjunction with all technical departments keep accounting systems up to date as required within the parameters of the role.

To provide assistance in arranging and overseeing work placements and student placements.

To support the work of the Head of Technical Services with administrative, record keeping duties and management of diaries.


Technical Team

Health and Safety
To administer the company Health and Safety System ensuring the systems kept organised, tidy and documents are suitably labelled.

To collect KPI data from departments and support implemented systems to streamline this.

To assist the Head of technical Services in incident investigation and routine audits.

To actively promote a positive Health and Safety culture across the organisation


Responsibilities of all staff
To be aware of the work of other departments in the delivery of the company's charitable objectives.

You will take an active part in communicating and co-operating with other staff and departments, contribute to an enthusiastic, positive work climate within the organisation and take an active part in achieving high standards of customer and client care.


You will be attending team meetings and all internal and external meetings as required, follow all Perth Theatre & Concert Hall guidelines, procedures and policies and work in accordance with the Equality & Diversity Policy of Perth Theatre & Concert Hall.

You will undertake other duties as may be reasonably required by the organisation.


Person Specification
You will be a highly motivated, experienced with an interest in the performing arts. You will have experience in working with creative and practical team to implement and maintain administrative systems which support their work efficiently

You will have a flexible approach to work and be comfortable working in a fast changing environment. You need not be from a theatre or events background, but have a wiliness to learn.

We are looking for a strong track record and skills in the following areas:

Essential Experience

  • Excellent administrative experience with a proven track record supporting a busy team working.
  • An understanding of the theatre and/or live events industry.
  • Excellent IT skills.
  • Risk Assessment Training
  • Experience with timesheets and in administering a casual workforce

Desirable Experience

  • Formal Health and Safety training
  • Experience working within theatre or live events.
  • Experience working with technical or creative teams.

Terms and Conditions

Salary:
£19,414 p.a (pro rata)

Annual salary will be paid in monthly instalments. You will be paid monthly by bank credit transfer on the last working day of the month.

Evening and weekend work are a requirement of the post and no infringement payments will be made.


Hours of Work:

You will work an average of 21 hrs per week, this will be annualised at 1,092hrs per year. The year runs from 1st April - 31st March.

Any shortfall in hours or additional hours will be carried forward to the following year.


Holidays


Holiday entitlement is a total of 30 days, including 4 recognised Public Holidays (25 & 26 December; 1 & 2 January).
