The Mattishall and Lenwade Surgeries are seeking to recruit a committed part-time, afternoon/evening medical receptionist to join our busy GP practice team.

Preferably with experience within the NHS and/or GP practice, to join our progressive, dynamic, technologically driven, expanding and modern practice.

Our receptionists' team are trained to receive, assist, and direct patients in accessing the appropriate healthcare service best suited for their need with the continued delivery of high-quality health care.

Applicants should be courteous, highly motivated, pro-active, and good team players, able to project a positive and friendly image to our patients and visitors.

This is a part time position over 4 days Monday - Friday, the hours are non-negotiable.

This is a permanent role. Hours of work are 22.5 hours over 4 days per week, Salary is minimum wage.

The successful applicant will need to be flexible in their approach to cover team absences where necessary. The successful applicant may also be required to work at both sites within the Practice.


Week One, two and three hours
Monday 1300 to 1830 = 5.5 hrs

Wednesday 1230 to 1800 = 5.5 hrs

Thursday = 6hrs

Friday 1300 to 1830 = 5.5hrs


Week four hours
Monday 1300 to 1830 = 5.5 hours

Wednesday = 5 hours

Thursday 1400 to 2000 = 6 hours

Friday 1400 to 2000 = 6 hours

Job Summary


To be responsible for undertaking a wide range of medical administrative, secretarial, and reception duties in the provision of general support to the multidisciplinary team.

Duties can include but are not limited to, reception duties, and the processing of information (electronic and hard copy) in a timely manner, acting as focal point for patient enquiries, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.

Adhering to extant policy and procedure.

Primary Responsibilities
The following are the core responsibilities of the Receptionist role There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

Reception duties will be allocated as part of the Reception Rota during the operating hours of 07:15hrs - 20:00hrs Monday - Friday.


Reception duties
a. Maintaining and monitoring the practice appointment system, including booking appointments

b. Recording all requests for Home Visits and liaising with the Duty Doctor

c. Compile patient registration packs

d. Data entry of new and temporary registrations and relevant patient information as required

e. Process personal, telephone and when required e-requests for appointments

f. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

g. Signpost patients to the correct service

h. Initiating contact with and responding to, requests from patients, team members and external agencies

i. Photocopy documentation as required

j. Input and read code data into the patient's healthcare record as necessary

k. Direct requests for information i.e., SAR, insurance / solicitors' letters and DVLA forms to the administrative team

l. Manage all queries as necessary in an efficient manner

m. Carry out system searches as requested

n. Process, update and manage the Practice Chronic Disease register recall system

o. Action SystmOne Tasks, Paths, and scanned task lists as applicable

p.

Manage and process out-going post as appropriate, dispatching to the local hospital via the collection service and out-going post via the registered mail services and the Practice franking machine.

q. Manage and process incoming mail ready for scanning and direct other post to appropriate departments.

r. Liaise with external providers such as secondary care hospitals, consultants, NHS or Private, as required.

s. Confirm Post Natal and 8-week baby checks

t. Maintain a clean, tidy, effective working area at all times

u. Monitor and maintain the reception area and notice boards

v. Support all clinical staff with general tasks as requested


Secondary Responsibilities
In addition to the primary responsibilities, the Receptionist may be requested to:
a. Partake in audit as directed by the audit lead

b. Produce meeting agendas and record the minutes of meetings
