Purpose of the role


We are looking for a proactive and enthusiastic individual who is organised beyond belief, has excellent attention to detail and the ability to multi-task several priorities.

The individual should bring a positive and proactive attitude to everything they do, and should not be afraid of problem-solving and out-of-the-box thinking.

As well as supporting the financial running of the business, the purpose of this role is to streamline activity and ensure a smooth running of the business, therefore excellent organisation, communication and interpersonal skills are essential.


Responsibilities:


Payroll, Accounting & BookKeeping:

  • Raise invoices and credit notes within Accountancy Software (Xero).
  • Keeping all internal records and spreadsheets up to date.
  • Manage client media spend, ensuring invoices to clients and invoices from suppliers are up to date and balance accurately.
  • Carry out regular credit control activities and checks, including sending statements to clients and requesting payment dates.
  • Organising regular payment runs.
  • Reconcile the bank on a regular basis, ensuring the appropriate receipts and paperwork are in place.
  • Manage budgets alongside the senior management team.
  • Analyse financial performance against projections and actual spend against budgetary spend.
  • Liaise with payroll regarding staff wages and any changes that need to be implemented ahead of the payment run.
  • Correspond with clients and understand requirements relating to invoicing.
  • Managing internal expenses and month end accounts.
  • Work closely with our external accountants, answering any accounts queries and help prepare the end of year accounts and financial statements.

Business Administration:

  • Write new internal processes documents and ensure all existing internal processes are reviewed regularly and kept up to date.
  • Ensure important strategy documentation is up to date and easily referenced.
  • Attend meetings when required, take minutes and communicate actions with all attendees.
  • Order any office equipment or supplies and ensure the appropriate paperwork is in place.
  • Ensure important company software is up to date and well utilised throughout the business.
  • Manage all suppliers, ensuring all records are up to date and contracts are competitively priced.
  • Keep internal systems, such as annual leave and sickness records up to date.

Skills and experience required:

  • Previous bookkeeping experience.
  • Experience using software such as Xero, QuickBooks and Sage is desirable.
  • Team orientated, and confident dealing with clients over the phone and face to face.
  • Great organisational and communications skills (role does involve client contact).
