Administration Controller
Hybrid (3 days in Office, 2 days WFH)

The UK Administration Controller is responsible for controlling and overseeing all file cost control accuracy from two perspective, vendor costs invoices and customer invoices.


Main Contribution

  • To validate invoices against recorded tariffs and highlight key findings.
  • To work with analyst to prepare a costing tool for key supplier accounts.
  • To validate agent invoices against recorded tariffs.
  • Follow and liaise with suppliers to resolve any raised queries.
  • Provide finance with a summary of discrepancies detailing discrepancies identified and actions taken.
  • Provide cost of sales accruals adjustment.
  • Coordinate with Accounts Payable and Finance coordinator (India) to ensure prompt receipt of supplier invoices.
  • Assist analyst in set up of cost validation tool.
  • Improve and maintain clear, accurate and timely communication with group colleagues.
  • Ad hoc duties, including project work, required by management to ensure all deadlines are met.
  • Monitor and action customer invoice enquiries and respond in timely manner.
  • Utilising inhouse systems to check file cost control.
  • Job file invoicing / billing (transfer all the information required for ensuring the accuracy of the billing process).
  • Liaise with vendors for updates, cost, routing options etc.
  • Coordinate with IATA in regards to CASS queries.
  • Initiate and manage new cost control tactics and processes.
  • Assist the reporting manager with any reasonable management requests.
  • The list of duties is organic and can grow with the role and/or the business needs.

  • Passenger and cargo airlines knowledge
  • Active and passive temperature controlled solutions
  • Shipping paperwork
  • Cold chain logistics knowledge
  • Clinical Trials logistics awareness
  • Multimodal shipping awareness (air, road, sea, rail)

Interpersonal skills ("Essentials")

  • 2 years' experience in the logistics industry, previous pharma, healthcare, temperature controlled experience highly desired.
  • Minimum GCSE standard in English and Maths (or equivalent) essential
