JOB PURPOSE:
This is a client/customer facing position, requiring excellent customer service to be provided to all within the organisation. To work with the front of house team in our Clapham Centre. Answer all enquiries from clients and therapists.
Making client bookings into the Low-Cost Counselling Service and the Private Therapy Service.
Diary management of all therapists within the centres, for Low Cost and Private.
Prepare the training room for courses and workshops. Check all rooms throughout the day and keep them tidy.
PRINCIPAL ACCOUNTABILITIES:
- Provide outstanding customer service to existing clients, new clients, prospective clients, staff, practitioners and other stakeholders.
- Maintain and update the reception booking system.
- Manage all aspects of the reception function.
- Responsible for being flexible, as shift patterns may change accordingly to suit organisational requirements; For example, shift/holiday cover.
- Liaise effectively with all levels of staff, therapists, tutors and clients within the centre.
- Responsible for working with the highest level of accuracy.
- To maintain a helpful and userfriendly approach.
- To carry out all aspects of work with professionalism and efficiency.
- To work closely with the Front of House Senior Lead, Front of House Lead, Front of house administrators, other staff members and therapists.
- To communicate effectively, in written and verbal form
- To maintain the highest standards of confidentiality, in accordance with the centre's policies.
- To complete all tasks as instructed by the Front of House Lead
- Ensure quality assurance by performing the standards set by the organisation.
- To be able to take card payments and checking client payments.
QUALIFICATION AND SKILLS:
- Previous front of house/reception experience necessary.
- Excellent communication and interpersonal skills.
- Communication sensitivity: To be able to liaise with clients and be aware of the sensitive information. Responding in a manner that is empathic.
- To be able to work within the remit of all General Data Protection Regulation (GDPR) guidelines.
- Excellent organisation skills, prioritisation skills, ability to multitask and attention to detail.
- Professional and a collaborative approach to working within a team.
- Ability to work effectively with all colleagues.
- High proficiency in Excel, Word, Outlook and knowledge of using databases, including CRM and Microsoft 36
- Excellent administration skills.
