Description

Experience of working in a school office and knowledge of our school database SIMS would be advantageous or experience of working in a busy office environment.


37 hours per week working Monday - Thursday 08.00am - 4.00pm and Friday 08.00am - 3.30pm (30 minute lunch break)

Term time only plus teacher training days (39 weeks)

Core purpose

  • To support the Office Manager and Deputise with the management of the office in their absence.
  • To manage and provide a full receptionist service and administration to support the school.
  • To jointly oversee and coordinate the administration work within the general office team in conjunction with the Office Manager.
  • To provide a full receptionist service and clerical administration to support to the school.
  • Ensure the careful, confidential and secure handling and processing of information

Reception

  • Ensure high levels of effective communication with the team and the effectiveness of the team in supporting the school.
  • To work with the Office Manager to update general office procedures to reflect current practice and embrace new technologies.
  • To greet all visitors to the school and provide a high level of customer service
  • Answer switchboard, take and pass on messages and deal with any enquiries in a professional manner
  • Assist with daily attendance calls/logging of absences
  • Take deliveries/goods, deal with associated administration (security badges, signing delivery notes, contacting caretakers to assist with big deliveries
  • Ensure the office and reception areas are attractive, welcoming and tidy at all times
  • Show visitors around the school when required
  • Support Student Services, with coordinating messages and/or items to be delivered to them in class or collected from Student Services
  • Support the Head of Year as and when instructed by the Office Manager; this could be making phone calls and/or arranging appointments on their behalf.
  • Ensure that the Post
- incoming post and parcels are franked and ready for outgoing post/assist with taking the post to the Post Office on a rota basis

  • Coordinate the collection of examination papers for collection by courier
  • Ensure/manage the distribution of post to key personnel and staff pigeonholes.

Clerical Support
Support the work of the school office as necessary for good efficiency:

  • To be proficient in all ICT function to include Office outlook, Word, Excel, PowerPoint
  • Inputting of student data onto the SIMS database
  • Typing of letters, reports, agendas, minutes, worksheets and general correspondence
  • Maintain and update student files
  • Other general office duties when requested by Line Manager
  • Establish and maintain effective working relationships with colleagues
  • Participate as required in daily and weekly communication meetings
  • Adapt to the needs and pressures of the moment
  • With relevant training to be able to cover the basics of other team members duties such as Student Services/Clerical Support

General
