The Medicine Division provides unscheduled, specialty and planned care services across a variety of medical specialties on both the main hospital sites in Cheltenham and Gloucester.

This includes emergency services, inpatient acute care, interventional and theatre environments as well as a large number of long lengths of stay patients awaiting onward care.


This post is an exciting opportunity to be a pivotal team medicine member, by ensuring the Deputy Divisional Tri are able to function in the most efficient and effective way.

The PA will be supporting all administrative functions to them.

From office management and event organization through to wellbeing considerations, this post is vitally important to supporting the delivery of safe and quality patient care.


The post holder would also join the team at an inspirational time as there are ongoing works to expand our services alongside other ward moves.

The PA will be at the heart of supporting these significant developments, while bringing a truly professional and advanced approach to admin support.

Secondment Opportunities will also be considered

  • Ensure efficient and effective management of Matron Secretarial and Bank Admin services within the Division with the support of the Lead Admin Coordinator.
  • Act as a personal assistant to the Divisional Tri Speciality Medicine Deputies, including using initiative to prepare drafts of correspondence and reports, maintain diary and appointments, arrange meetings and visits and take messages using own initiative at times.
  • Support recruitment and local induction for matron secretarial and bank staff
  • Support Specialty TRIs and Divisional Deputies to ensure they receive consistent, quality secretariat service delivery.
  • To prepare agendas and minute all meetings chaired by the deputy tri wherever they are held in the Trust and ensure that decisions made at these meetings are actioned satisfactorily including putting the minutes on the Intranet as required. This is done independently, seeking approval before sending out.
  • Ensure the deputies receives appropriate mail and messages and that these are dealt with in an efficient and timely way by recording, diverting, tracking and prioritising them. This will include drafting responses and discarding 'junk' mail as necessary.
  • Maintaining confidentiality to be exposed to all level information.
  • Support the Admin Coordinator in leading on projects, such as assurance framework auditing, safer staffing summaries and report dissemination.

KEY RESULT AREAS
Admin/Management

  • Responsible for the line management and day to day line management of the matron secretarial teams and Bank.
  • Monitor workforce performance for the Divisional Admin Team (matron secretaries) in liaison with the Admin Coordinator
  • Assist with the monitoring and updating of data quality reports around complaints/compliments.
  • Monitoring of Divisional leave adherence to local annual leave policy.
Workforce

  • Lead on the organisation of recruitment and selection of Divisional Admin/bank staff, including preparation of job descriptions, personal specifications and interview admin.
  • Monitor performance, sickness absence and take appropriate action, when necessary, with local team.
  • Conduct annual appraisals/performance reviews and identify training requirements for local team.
