A firm awareness of health and safety and child protection issues and how to ensure good practice, having the ability to work in a way the promotes the safety and wellbeing of young people is essential to any role within this school, in addition to the required submission of a DBS check Main Purpose of the job


Diplomatic and discreet in approach, the role holder will be able to manage an ever-changing workload, balancing the multiple needs of the school in a fast-paced environment.

As a strong team player with exceptional interpersonal and communication skills, you will be customer focused and comfortable working with a range of clients/commissioners, young people, parents and other visitors to the office.


You will also be tasked with organising and maintaining essential office services, ensuring the office is in immaculate condition, always well stocked and space and storage used effectively.

As an essential member of the central support team, you will aid the smooth running of the office through communicating and coordinating with staff and management.

To act as the first point of contact for visitors and callers to the school and to undertake a range of other administrative tasks as identified by the Office Manager, Head or Deputy headteacher


Key areas of Responsibility

  • Greet and welcome visitors to the school between 8:45 am and 4:00 pm, ensuring they sign in the visitor's book and informing the relevant member of staff of their arrival.
  • Monitor and ensure that the reception area is kept tidy and free from clutter.
  • Keep a record of staff and visitors signing in and out of the building.
  • Ensure that documentation for inductions is correctly recorded, inspected and input onto SIMS. This includes booking in referrals and liaising with relevant agencies for information concerning referrals
  • In the event of a fire and/or any other emergency requiring staff to leave the building, to be responsible for ensuring that the visitors book and staff movement sheets are removed from Reception and taken to the outside meeting point.
  • Check and sign for deliveries, before informing the relevant member of staff of their arrival. Deliveries by post or courier may include valuable items. Follow procedures and ensure security of valuables.
  • Collate and update staff lists, important HR info and contact details regularly.
  • Attend and minute staff and other relevant meetings
  • Effective management of the office's electronic diary, assessing priority of appointments and reallocating meetings as necessary.
  • Providing support for an extensive range of meetings; liaising between key parties, preparing documents, rooms, and following up on correspondence and action points from these meetings.
  • Any other duties as may reasonably be required, consistent with this post.
  • Training will be provided to: Coordinate all public and internal examinations, ensure that entry procedures, fees, conduct of examinations and results are efficiently dispatched. Maintain SIMS database for entries and results
  • Maintain SIMS data on young people and staff
  • Liaise with the awarding bodies, teaching and support staff
  • Attendance at school for results day in August over 2 days and provide subsequent statistics for internal monitoring
  • Monitoring and reporting attendance including nonattendance along with making relevant contact with social workers and other agencies in the event of absence in a timely manner
  • Issuing attendance letters and other aspects of attendance monitoring
  • Providing cover for arrangements in the mornings
  • Assisting with special consideration and access arrangement requirements
  • Attending all relevant training sessions as required by the school
  • Proof reading and compiling documents for submission to relevant authorities
  • Prepare and edit communication presentation and documents
  • Conduct research, collect and analyse data to prepare reports and documents
  • In the event of the office managers absence, you will be expected to cover the main duties for a period of time
  • You must be able to operate on your own on reception, taking deliveries, operating the school database, taking phone calls, processing admin
  • Must have School admin experience not phased by being on your own in reception and answering door/phone be able to multi task and have good typing skills and enjoy being busy.
  • To maintain the database of Information Management, parentmail, including SIMS and admissions and SIMS Assessment Data with regard to young people across the service.
  • To handle sensitive data carefully in accordance with the Data Protection Act
The Job Description may be reviewed at the end of the academic year or earlier if necessary. In addition it may be amended and duties varied to meet the changing needs of the school at any time after consultation
