Role Purpose:

As an Operations Co-ordinator you will work within our central operations team as first point of contact for stakeholders.

You will be directly involved with the day-to-day delivery of high quality customer service and stakeholder communications, along with supporting stakeholder relationships.

In addition, you will support the wider operational aspects across the directorate and wider company including the support to our Clinical Leads, Contract Managers and Service Coordinators.


You will contribute towards project management, quality assurance and learning development by creating standard operating procedures (SOPS'), training videos and guidance documents.

You will support the Senior Operations Officers and Operations Manager on all operational aspects of the business.


Responsibilities of this role will play an essential part in the delivery of:


  • Complaints Management: Co-ordinate and support the development of customer service and complaints management processes.

Communications: Supporting the operational needs of our communications team including the processing of internal and external communications and supporting the development of online content for our in-house Intranet and website.

Reporting:Support the feedback and reporting processes of the organisation to Senior Operations Officer, Operations Manager and Operations Director.

Training:Development of handbooks, SOP's and guidance for our internal processes to help train new starters.

Digital Operations: Helping NHS optical practices, Registered practitioners and NHS Hospitals onboard onto OPERA (our IT system) so they can provide enhanced optical services to patients.

Events Management: Organising and facilitating virtual events, for the Service Development team in relation to the launching of new services. In addition, organising and supporting external events relating to stakeholder engagement and company events. Collecting feedback, organising venues and working within budgets.


General responsibilities:


  • Onboarding practices and practitioner's
  • Using Microsoft apps to complete mail merge tasks in relation to setting up service engagement events and send out attendance certificates.
  • Approving and rejecting learning certificates as part of our stakeholder onboarding workflow process.
  • Changing and merging of practice NHS registration codes to provide lists for PES Service Development team, external stakeholders including our NHS partners.
  • Upgrading and downgrading practices in relation to their contractual delivery extended services and processing electronic acceptances (Signwell).
  • Support the communications team with internal and external communications.
  • Produce audits through the management of data to check practices and practitioners have all the correct accreditation and contracts.
  • Support our IT provider with operational tasks and join meetings when necessary.
  • Respond and log complaints on our internal log and then share this with the PES quality team.
  • First point of contact for all our stakeholders and attend regular meetings to answer any queries and resolve issues.
  • Organising all company events such as: SeeAbility events, Christmas Party, Staff engagement.
