Description

The Radiology department at GHNHSFT are looking for a dedicated and efficient admin assistant to assist the management team with the day to day running of the radiology departments across the county.


You would work alongside the General Manager, Professional Lead Radiographer, and the wider Radiology management team to ensure the safe and effective running of the radiology department.


This role would give the applicant opportunity to learn more about management within the NHS and provide interesting insight into the world of radiology.

The role will include clerical support, data inputting and associated tasks to enable the provision of efficient patient care.

Good communication with a multidisciplinary team is key to maintaining high standards and promoting an efficient service.


The post holder will ensure the professional image of the department and Trust is maintained at all times and will have a flexible approach to working hours, to meet the demands of the service.

JOB PURPOSE:

KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED:


  • GCSE grade C or equivalent in English and Maths
  • Business and Administration Level 3 NVQ or equivalent experience
  • Excellent keyboard skills with good presentation skills and a high level of accuracy
  • Strong IT experience with Microsoft Office packages
  • Experience of working in a busy office environment within the NHS
  • Experience with on line meetings, minute taking and outlook diary planning
  • Experience with the 'Healthroster' system advantageous
  • Proven organisational skills with the ability to prioritise workload, work to deadlines and work well under pressure
  • Good written and verbal communication skills with a good command and understanding of English, punctuation and grammar
  • Basic appreciation of the impact of disability
  • Good interpersonal skills for dealing with people internal and external to the organisation
  • Flexible approach to duties

KEY RESULT AREAS:


  • To work as an integral member of the Radiology team working flexibly to ensure that administrative work is performed to excellent, efficient and safe standards.
  • Maintaining diaries and arranging appointments for Radiology Management team
  • Initiating and maintaining all administrative records necessary to support the Radiology Management team including duty rotas and annual leave for large quantities of staff on multiple systems. To accurately input data, handle telephone calls and communicate and liaise with Radiology staff and other personnel.
  • To ensure shift times for staff are accurately documented for audit and pay purposes
  • Actively coordinating online meetings.
  • Assessing priority and dealing with matters as appropriate, including replying to correspondence.
  • Organising meetings and booking venues when required.
  • Taking and typing minutes of inhouse meetings, and distributing as necessary.
  • Handling petty cash when required, with appropriate record keeping for audit purposes.
  • Take the initiative as and when required as well as working flexibly and adapting to the demands of the team as appropriate, facilitating new initiatives and undertaking any other suitable tasks as agreed with line manager. To maintain a smart, professional appearance at all times and keep the work area tidy.
