Role Purpose

This role will be accountable to the Facilities & Contract Services Manager, the Customer Administrator is responsible for providing an excellent administration experience to Colbea tenants, clients, funders and management team.

You will be empowered to identify efficiencies that would improve the administration function, whilst remaining compliant in GDPR, AML and associated Finance Regulations.

You will work closely with the management accountant to support with client monthly invoicing and purchase invoices.


Key Responsibilities

To work as part of the Colbea team to ensure the smooth administration of the Colbea Group and its Business Centres.


Your duties will include, but not limited to:

  • Providing an excellent administration function across the Colbea Group, support will be required in finance, enquiry, lead and compliance administration following established processes
  • Processing of Colbea clients' details onto the database and producing regular reports as needed, within the boundaries of GDPR
  • Accurate reporting of tenant information, ensuring that Colbea is compliant in Anti Money Laundering Regulations
  • Preparing monthly client invoices, processing purchase invoices and monitoring of business rates, providing support to the Management Accountant
  • Strong interpersonal skills forming strong, trusting relationships with our partner organisations such a local authorities
  • Providing administrative support for Colbea's training courses on an adhoc basis
  • Working with the wider team to continuously improve Colbea's customer service and administration function
  • Sourcing material for the Colbea website and social media channels
  • Preparing and clearing meeting and training rooms for clients and events between use
  • Working within and understanding GDPR requirements when processing data

Person Specification

Part one

Knowledge and experience

  • Experience in customer care and administration.
  • Demonstrated administrative skills including ability to prioritise work to meet deadlines.
  • Understanding how GDPR applies to handling employee data, staff information and customer information.
  • Demonstrated IT skills, including MS Office, and databases.

  • Able to communicate with tact and diplomacy.

Salary:
£21,844.00-£23,204.00 per year
