This is a new opportunity following a recent restructure of the supply chain department to support the management and compliance of the supply chain vendor list and associated documentation in accordance with the agreed supply chain strategy for VIVO.

The Procurement Coordinator will work with the wider Procurement Team to help maintain compliance to VIVO standards and systems, acting as a key point of contact to the business site teams and external suppliers to offer advice, guidance and first tier escalation to problems.


Key Responsibilities:


  • Manage and maintain VIVO approved supplier list ensuring all records are accurate and up to date across multiple systems liaising with Serco Shared Business Services to update master data.
  • Coordinating with suppliers to ensure to full verification and adherence to VIVO quality standards, managing relationship with vendor assessment partner.
  • Monitoring Constructionline to ensure suppliers are compliant with VIVO policy requirements
  • Manage the relationship with Constructionline ensuring service meets requirements
  • Reviewing and processing New Supplier Requests internally and engaging with the supplier to gain the relevant details to populate the approved list and the updating system records.
  • Build and maintain good relationships with new and existing suppliers and internal stakeholders to make supplier recommendations back to the site teams.
  • Managing and owning the supplier catalogues for goods and products on VIVO internal P2P system (SAP)
  • Acting as a superuser for internal PO system (SAP) reviewing PO compliance, spend reports and categorisation of spend offering advice and guidance to local teams.
  • Supporting data analysis, spend reporting and other compliance requirements

What You Need To Do The Job

Qualifications

  • Educated to NVQ Level 2 standard or equivalent experience

Experience

  • Construction, Infrastructure or Hard Facilities Management background desirable but not essential.
  • Understanding of the procurement and supply chain processes
  • Significant experience in administrative tasks with excellent MS Office package skills
  • Experience extracting, analysing and producing data and reports
  • Some stakeholder engagement, communication & influencing skills.
  • 13 years in a Procurement or Administrative role.

Knowledge and Skills

  • Excellent time management skills, the agile nature of VIVO as a business means it is important for procurement administrators to manage their time effectively & ensure each task is completed in a timely manner.
  • Selfstarter who can understand service offering and interpret requirements independently, taking ownership and full accountability of tasks.
  • Strong communication skills; must be confident in representing the VIVO business and supply chain team indorsing company policy.
  • Ability to handle multiple projects simultaneously, managing changing priorities whilst ensuring that the wider Procurement team and stakeholders are regularly informed of outcomes.
  • Excellent time management and organisation skills, this will be a varied role as intended to be the point of contact for the supply chain team and be able to triage and problem solve independently, informing and updating stakeholders on progress and escalating problems to ensure tasks are close to completion.
  • High attention to detail and analytical skills.
  • Good written communication skills.
