JOB SUMMARY


The role assists in the day-to-day operation of the Development and Feasibility departments and provides administrative support to both departments within the London office primarily (with occasional support provided to other members of the development team based in continental Europe).

The position is a full-time administrative role which provides cross-discipline and cross-border support.


SCOPE/BUSINESS CONTEXT

  • A fulltime position based at Marriott's Fetter Lane office in London. While the position will be office based, Marriott's hybrid working policy allows for working from home on an occasional basis (as agreed by the Administrative Assistant's line manager)

  • Previous experience in an administrative role is essential.

Education or Certification

  • Degree (or equivalent level) qualification preferable.
  • Excellent spoken and written English is essential.

SPECIFIC DUTIES

  • Each associate is expected to carry out, within their capabilities, all reasonable requests made by their supervisor and/or manager.
  • Working closely with/in support of the current Development and Feasibility administration teams in London and Zurich, this position will be under the daytoday management of Paul Thomas (Vice President of Development for the UK, Ireland and Nordic regions). The position will also work closely with (and under the supervision of) the departmental Senior Administrative Assistant especially in respect of monthly Hotel Development Committee (HDC) duties. To that end, the Senior Administrative Assistant (who is also London based) will allocate HDC related tasks and responsibilities to the Administrative Assistant, as required
  • Maintain confidentiality of proprietary materials and information
  • Handle incoming and outgoing correspondence and distribute them as required
  • Create and maintain computerbased filing and organization systems for records, reports, documents etc.
  • Assist with the design and preparation of reports and presentations as required
  • Assist and prepare a variety of documents using MS Office, including the editing and preparing of internal committee approval documents, preparing presentations for proposals etc.
  • Produce and distribute team correspondence, presentations and other related documents as required
  • Compose, produce and sign correspondence on routine matters.
  • File and forward traces a variety of documents
  • Monitor and maintain office supplies
  • Process expense reports in a timely manner
  • Attend meetings and take meeting minutes as requested
  • Attend conferences and other events away from the office on an occasional basis, as required
  • Maintaining deal progress updates in OASIS and development pipelines
  • Deal with incoming requests by telephone
  • Maintain, collate and distribute all relevant department reports
  • Coordinate venue and agendas for meetings as required
  • Coordinate travel and accommodation arrangements for team
  • Maintain team diaries, schedules and appointments

OTHER

  • Perform other administrative and related tasks as assigned by supervisory/management staff to meet business needs.
