We are currently recruiting for a Business Support Administrator to join our passionate and driven team based at our client's site in Southgate Bath.

Key Responsibilities:


  • Provide a first point of contact for members of the public ensuring a warm welcome, and dealing with enquiries and problems efficiently and quickly.
  • Firstcall pickup, ensuring telephone messages are passed in a timely manner with the correct information to the appropriate team member.
  • Take responsibility for the Reception areas including all equipment and ensure everything is in good working order.
  • Maintain office calendar to coordinate workflow and meetings.
  • Maintain confidentiality in all aspects of client and staff information.
  • Interact with clients, suppliers, contractors and visitors.
  • Answer telephones and transfer them to the appropriate staff member.
  • Sign for and distribute delivered packages.
  • Prepare responses to correspondence containing routine enquiries.
  • Perform general clerical duties to include, but are not limited to, invoices, purchase orders, copying, faxing, mailing and filing.
  • Coordinate and maintain records for staff.
  • Utilise Concept system for the raising of reactive jobs, completing of jobs both PPM and reactive and were required raising Permits to Work.
  • Ordering of equipment and supplies as directed by FM/DGM.
  • Control of Contractors.
  • Assist in the hosting of refreshments for client representatives, tenants and visitors to the estate.
  • Support the wider team as appropriate with any reasonable request.
  • Ensure all work is carried out in a safe, proper and thorough manner taking into account Health and safety legislation, Incentive FM policies and procedures, risk assessments and method statements.

About You:

-
_ Applicants must have the right to work in the UK_:

  • High levels of Customer Care
  • Experience working within an FM environment
  • Experience in working and building partnerships with Clients
  • IOSH trained desirable and would be provided if not currently qualified
  • IT literacy skills in Microsoft Outlook, Word, Excel and PowerPoint
  • Articulate and able to communicate effectively with the Clients and the IFM team
  • An organised individual who can demonstrate a record of planning and managing workflows
  • Able to demonstrate an understanding of highquality service delivery and its impact on this
  • The ability to be agile and flexible to meet the needs and demands of the role
  • Excellent time management organisation and focus on the ability to prioritise and multitask with a clear ability to focus on detail
