An exciting opportunity has arisen for a Sales/Export Administrator to join our client, a specialist manufacturer based in Newport.


General Purpose of Role:


Main Responsibilities:


  • Releasing Sales Orders into the ERP system
  • Issue Sales Order Acknowledgements following order review and acceptance of order
  • Progress orders through liaison with other departments in order to control a smooth flow of customers' orders, highlighting any anomalies or concerns
  • Liaising with customers as a point of contact after order placement, keeping them updated on the progress of their orders inline with their requirements and produce production schedules when required
  • Keep contract/order files up to date plus archiving of completed order files
  • Produce despatch documentation to required specification, including for export, ensuring compliance with business processes and HMRC requirements
  • Arrange despatch/collection of orders inline with agreed customer instructions.
  • Ensure despatch log is kept up to date
  • ERP system despatch and invoicing
  • Supporting the Sales Department with archiving, filing and any other administrative tasks, if requested.

  • Successful, on time completion of all orders and projects
  • Completion of updates on time and inline with requirements
  • Acknowledge orders on time
  • Sales orders closed in accordance with business and HMRC requirements

  • Excellent housekeeping.

Specific Qualifications:


  • Qualification to GCSE "A" Level standard or equivalent is desirable, but not essential if previous work experience demonstrates a proven track record and high level of ability
  • Previous Work Experience:
  • Administrative background with proven interpersonal and customer service skills
  • Proficiency with word processing and spreadsheet software
  • Excellent written and verbal communication skills

Specific Knowledge / Skills Competence:


  • Export Documentation preparation to HMRC requirements
  • Customer focussed at all times & relationship management
  • Excellent attention to detail
  • Good planning and organisational skills
  • Effectively communication with all levels in the organisation
  • Ability to work to deadlines
  • IT skills to intermediate level (MS Office & ERP System)

Working Hours:

Mon - Thurs: 30 min lunch break

08.30h h Mon-Thurs

08.00h - 14:00 Fri

Salary is negotiable depending on experience
