Nursery Administrator
**Key Purpose of the job

  • Promote quality care and learning**To work as a support to the manager, owner, and strategy manager in maintaining high quality, flexible childcare for families leading the early years team in the delivery of highquality services for children and their families.
To oversee the smooth running of the setting on a day to basis.
To promote the aims of the Nursery and embrace the ethos under which it operates
- a child centered approach and an environment which is warm, welcoming, and stimulating to all.
To work closely with Manager in driving forward continuous improvement in relation to administration roles.


Support for setting


To be an effective member of the management team and contribute to the strategic planning, monitoring, evaluating and development of the nursery.

To ensure the overall wellbeing of the children, families, and practitioners within the setting.

To be always a role model to children, families, fellow practitioners, students, and those from the local community.


To collect fees from parents/carers and to ensure that accurate invoices and transaction records are kept and updated as necessary.

Collection of fees including the administration of
Childcare vouchers and tax-free childcare, pursuing outstanding fees and resolving any account queries.

Pursuing outstanding fees proactively and in a timely manner.
Referring to and working with debt collection agencies when necessary.
Maintaining family and account records on nursery computer programme Famly for which training will be provided. To maintain accurate databases and paper files as necessary.
Review of the monthly Fee Report. Raise any concerns with the Nursery Manager.
Maintaining accurate and confidential staff, children, and parent's records.
Preparing banking.
Credit card reconciliation.
Welcoming parents, children, and visitors.
Communicating pleasantly and effectively in person, in writing and on the telephone.
Keeping the office tidy.
To collate registers & waiting lists for children and staff on a regular basis.
To prepare financial and other reports as required and to manage the petty cash system.

To collate outcomes from senior nursery staff with reference to children's settling-in and start date procedures, and work with the transition manager to plan children room moves.

To oversee administrative arrangements for conferences, meetings, and training events.
To process correspondence and arrange appointments for senior staff.
To draft newsletters, and other literature, as required.
To collate orders for administrative supplies and facilitate payments.
To contribute to and attend his/her supervisions and staff appraisal.
To attend regular team meetings, conferences, training events or other meetings as identified by the Nursery Manager.
To take minutes as required.
To ensure adherence to nursery's code of practice on confidentiality.
To keep up to date with current good practice.

To cover in the playrooms where needed.


Support for parents and carers
To work in partnership with children, parents, carers, other staff, and organisations in the best interests of children and families by:
To support the nurturing of positive relationships between parents, carers and children.
Ensuring every avenue to exploited to ensure they feel welcomed and valued within the setting. Ensure each individual need is met and all parent's requests are fulfilled. Supporting the settling in and transition periods closely ensuring continuity for all.

Confidently develop trusting, honest relationships with parents, sharing information about the day's activities, promoting parental involvement. Foster respectful relationships and keep them updated on the child's progress or highlight any concerns. Talk with parents daily, keeping a strong rapport with all family members and work to foster good relationships.

To hold an adaptable and non-judgmental manner and to develop positive relationships with all and ensure practitioners working under you adopt the same professionalism.


To ensure that all services delivered are of the highest quality by:
To work closely with the manger and the leaders of learning. You are expected to work autonomously throughout the day.

The role will require you to make day to day decisions thoughtfully and with a high degree of sensitivity to the needs of the children and families.


You will be required to make recommendations and proposals about the service available at the setting to make appropriate changes and developments.


To work in a flexible and enthusiastic manner and to work independently managing your own time effectively, being professional and fair to all.


To maintain good communication systems within the service to be able to inform, inspire and motivate children and provide feedback to other professionals and parents.
