About Gateway2Housing


We are a supported housing provider that provides specialist support designed to meet the needs of our vulnerable tenants, by offering high quality housing and tenancy related support.


Your Role:
Provide administrative support to the team to ensure the effective delivery of excellent housing management service to our residents. Your role will include working closely with support workers, contractors, liaising with residents.

We are looking for someone who can work closely with the team and management to provide smooth running of day-to-day activities and to support improvements in service delivery.

Your Responsibilities

  • Reviewing lettings, waiting list (supported housing) and voids
  • Supporting the senior management as well as Housing Support Manager and Property Services Manager with administrative duties such as minute taking, filing, scanning
  • Reporting any suspicions of safeguarding issues relating to customers in line with the relevant policy
  • Preparation, submission & following up of housing benefit claims for new & existing tenants
  • Printing, preparation and updating of staff, tenant and office files for audit purposes
  • Submitting notifications to stop housing benefit claims in respect of former tenants
  • Monitoring of housing benefit arrears/credit balances and taking necessary actions to resolve
  • Support intensive housing management programme, including registering/managing new & existing tenancies for utilities, council tax and other services and dealing with related queries and invoices
  • Posting housing benefit, service charge receipts and other payments onto tenants' accounts
  • Raising monthly invoices to Housing Associations for rent and other charges
  • Monitoring and posting of Landlord charges, including rent and insurance invoices
  • Deputising for members of the property team, including coordinating repairs & maintenance tasks and other supplier invoices
  • Dealing with utility providers in relation to contracts & queries, liaising with existing & new utility brokers to manage existing contracts and procure new contracts to achieve best rates
  • Procurement of supplies, furniture, appliances for properties through our existing supplier base and developing new suppliers relationships
  • Reporting duties managing time and attendance reports to submit to payroll, and other system reports in a timely manner and updating software and systems with required information
  • Other related general admin team support

Your Skills and Experience

  • Minimum two years' experience of working in a financial or administrative position
  • Diligence and attention to financial detail
  • Excellent communication skills, with a confident and persuasive telephone manner
  • Excellent organisation and planning skills
  • Highly computer literate, including working knowledge of Microsoft Excel
  • A confident, conscientious selfstarter with a strong work ethic, personable character, and the capability to build good working relationships with tenants and colleagues.

Essential Skills

  • Strong administration experience
  • IT literate, experienced in Microsoft Word and Excel
  • Available for an immediate start
