To provide every customer with a professional, safe and enjoyable experience at each stage of their visit: Reception, The Scan, Printing


General Tasks and Responsibilities:

  • Relationship Building
a. Introduce yourself and build rapport with every customer and their family from the moment they enter the clinic, the scan room or print area
b. Keep customers informed about what is happening throughout their visit
c.

Work in close partnership with the sonographer, relaying any technical information in a relaxed, clear informative way to the family.


  • Sales
a. Support and actively contribute towards the business sales goals
b. Make customers aware of additional items they may add to their package at the appropriate stage of their visit. Includes additional scans, upgrades and merchandise.


  • Handling difficult situations
a. Have full understanding of the referral pathways process where an anomaly, fetal Health or inconclusive scan is the outcome
b. Provide customers with compassion and sympathy where referral is required
c. Support the customer throughout the process of communicating with the sonographer
d. Inform the Manager/Team Leader and other members of the team of any referrals or issues
e. Make sure the customer leaves with the best possible information and understanding of the situation
f.

Complete relevant paperwork/records at the time of the occurrence and inform the Registered Manager (who is also the Clinic Manager) within 12hrs of the situation occurring.


  • Health & Safety
a. Take immediate action if you identify a potential risk of accident or injury to a colleague or customer to eliminate or mitigate the risk
b. If necessary bring the potential risk to the attention of the Clinic Manager/Team Leader of any health and safety matters promptly


Key Tasks By Role:
Receptionist

  • Prepare reception for the day
  • Book customers in on arrival and explain scan information
  • Take cash and card payments before the scan
  • Take cash and card payments for additional items before customer leaves
  • Cash up the till at the end of clinic to balance
  • Deal with telephone enquiries and bookings
  • Ensure all documentation is completed to meet CQC requirement
  • Check the documentation filled out in the scan room has been completed fully to meet the requirements of CQC.
  • Keep the waiting area and toilet clean and tidy throughout the day
  • Make sure each customer is fully satisfied with the service before they leave, ask for customer feedback
Chaperone

  • Set up the scan room ready for the day
  • Provide sonographer with customer data and any background information
  • Bring families into the scan room
  • Check scan type and gender confirmation
  • Record all of the scan
  • Chat with families during the scan process to allow the sonographer to concentrate on the technical aspects of wellbeing checks and capturing images
  • Complete all Wellbeing reports in full using information provided by the sonographer
  • Read the room and connect with families to make all of our customers feel special
  • Take families out to printing area and seat at viewing station
  • Maintain cleanliness of the scan room throughout the day
  • Make sure each customer is fully satisfied with the service, notify reception if you believe not.
Printing

  • Prepare customer folders, order forms and envelopes for the day
  • Explain customers package, inclusions and additional items which may be added
  • Produce customer's prints and other gifts
  • File and convert customer movies in the appropriate file.
  • Make reception aware of any additional items purchased
  • Transfer digital images and movie via bumpies
  • Show families their images and check they are correct
  • Package up photos, other items
  • Keep the printing area clean and tidy and ready for each customer
  • Discuss with the customer the opportunity to return
  • Make sure each customer is fully satisfied with the service before they leave, ask for feedback

Part-time hours: 12-16 per week
