Job Summary
To provide comprehensive administrative support to the Warley Woods Community Trust, and in particular to the Trust Manager. To be the main co-ordinator of the events programme at Warley
Woods and actively involved in the delivery of major events.


Main Responsibilities
To work in close collaboration with the Trust Manager, and other staff and volunteers, with respect to the following:1 To provide general administrative support which will include logging and processing of post, maintenance of office files, ordering of supplies and equipment, dealing with post, photocopying, and other administrative tasks


2 To maintain computerised and manual filing systems, to help to ensure adequate records are maintained of the Trust's proceedings.

4 To using computer systems as required including customer relationship systems
5 To liaise with relevant organisations/partners and contractors as required.
6 To liaise with community groups, members, site users and other relevant persons as required
7 To take the lead role and/or assist in the planning, marketing and staging of events as appropriate.
8 To be responsible for arranging payments to and from the Trust including online systems, invoicing and petty cash
9 To maintain membership and supporter records

10 To provide support to and attending the General Meetings, Board Meetings and Community and Events subgroup meetings, some of which take place out of office hours.

11 To ensure the maintenance of the Pavilion including repairs, replacement of supplies etc is undertaken
12 Maintaining the noticeboards and information in the Pavilion and co-ordinating the updating park boards.

14 Adding information to the website and social media as appropriate
15 Maintaining and collating the record of compliments and complaints for the Trust Manager to present to the Board
16 Being able to operate the shop till if required

Experience of working in an office in a relevant administrative role (E)

Able to use word processor, spreadsheets and databases to NVQ level

Experience of organising events. (D)

Ability to use social media, primarily facebook, (D)

Experience of updating websites (D)


3 Training & Qualifications It would be desirable to have undertaken training in administration, customer service or financial admin (D).

4 Special Knowledge Experience of working with a not for profit organisation and with volunteers (D)

5 Circumstances (personal) Flexible approach to work.
