The purpose of the role is to assist in the delivery of a highly effective and responsive Human Resource (HR) service across the Council providing administrative support to the HR Operational Team and the wider HR Service as required.


MAIN ROLES & RESPONSIBILITIES:

  • Working in partnership with HR Business Partners to give administrative support in effectively managing HR Operational casework, including organising meetings, preparing agenda and associated documentation together with room and note taker bookings, sending/uploading timely medical referrals, collating information from various sources, chasing outstanding actions, and providing regular updates.
  • To provide administrative support under the guidance of HR Business Partners for the Council's central health surveillance work which includes maintaining accurate records, organising appointments in liaison with managers and our Occupation Health provider, e.g. Hand Arm Vibration Syndrome (HAVS), HepB, Flu and audiometry testing etc.
  • Supporting HR Business Partners and Strategic HR Manager with implementing organisational change and managing employee relations cases appropriately. Duties may also include associated administration e.g. completing relevant forms/documentation, creating packs for Hearings/Appeals, dealing with queries and correspondence, requests for costs from payroll, pension requests etc.
  • To use the Council's HR information systems to access, input and compile data ensuring accuracy and timely provision of management information as required.
  • Be responsible for producing the agenda and notes for Joint Trade Union Group in a timely manner and taking notes for other meetings as required.
  • To support the Council's Job Evaluation process, organise panel meetings ensuring job descriptions and other relevant documentation is recorded and updated as required.
  • Administratively support the implementation of strategic HR projects as required.

Requirements:


  • Experience of office systems including Microsoft Word, & Excel, Outlook, PowerPoint and information systems
  • Experience of working within a team environment
  • Experience of working to, and meeting deadlines whilst under pressure
  • Experience of data collection, input, analysis and interpretation
  • Experience of working in an office environment where confidentiality of sensitive information must be maintained.
  • Knowledge of data protection legislation
- knowledge of good practice in Human Resources

  • Knowledge of employment legislation and practice
  • Ability to use excellent communication skills both written and oral, responding in a professional manner.
  • Ability to manage own workload and effectively plan and manage a wide range of work simultaneously with resilience to follow through and complete agreed actions.
  • Ability to work as part of a team, working collaboratively with colleagues, managers and staff across the Council.
  • Ability to pay attention to detail, with a high degree of accuracy in all matters.
  • Ability to follow instruction and take responsibility for own actions.
  • Ability to analyse information and create a concise report.
