Full Time

Hours: 08.30hrs to 17.00hrs with an hour for lunch.


Based:
Head Office, Sevenoaks, Kent

Holiday Entitlement - Pro Rata - 25 Days a year 3 days are to be kept for Christmas and New Year

An exciting opportunity has arisen to join a Kent based company that have a new opening for a Office Coordinator to join our dynamic team reporting into the Directors.

We are a fast growing and established company within the BMS/Energy Sector working with numerous blue-chip clients.

A key part of our development strategy is to continuously supplement the team with key people to allow us to enhance our service offering and assist the business in future growth.

Working within a small and dynamic team, you will be required to carry out a varied and exciting role. A previous background in a similar role or background is preferred.

Below is a list of the duties associated with this role:

  • Engaging with various project team members for collaboration.
  • Answering telephone as a first point of contact into the business.
  • Company Holiday Chart and dealing with holiday forms/approvals.
  • Dealing with Company Post internal and external.
  • Attending post office when necessary to send items externally.
  • Banking of cheques into the business bank account.
  • Hotel Bookings for engineers/Directors.
  • Stationary Orders/ Company Workwear/general office supplies.
  • Filing/scanning/photocopying.
  • Setting up of conference room for when Clients/Guests attend offices.
  • Liaising with Landlord in relation to anything associated with office or building.
  • Placement of orders with Suppliers and Sub Contractors, updating the order trackers with accurate information.
  • Checking incoming deliveries against orders placed.
  • Updating the stock inventory tracker with goods received into the office.
  • Booking equipment out to the relevant project/s and external parties. Ensuring that details are placed on a goods received form for the external party to sign and for Cura to keep on file. This is proof of goods sent and received if ever questioned or needing reference to.
  • Packaging of equipment/items to send out to various contractors and suppliers.
  • Organising a courier for collections and deliveries. Making sure POD are obtained and saved.
  • Booking of training courses for staff/updating and maintaining staff training tracker.
  • Organise for Company Van Stock Checks and Maintenance Checks with Engineers once a month.
  • Assisting with external Pre-Qualification Questionnaires and Trade body requirements.
  • Assisting in the ISO 9001 Management System and undertaking updates where necessary in accordance with our external Consultant and Managing Director.
  • Updating internal project trackers in conjunction with the team.
  • General duties as and when required of an administrative basis.
  • Participation in meetings, conference calls and taking meeting minutes.
Great communication skills and the ability to present information in a concise manner are among the key attributes.

Verbal communication skills - good telephone manner, courtesy, having the right tone when dealing with a client or contractor.


Salary:
£16,566.80-£33,356.53 per year
