A vacancy has arisen within Wessex Reserve Forces' & Cadets' Association for a full time Administrative Officer to support the County of Wiltshire Army Cadet Force based in Devizes.


The Wessex Reserve Forces' & Cadets' Association (RFCA) is an independent, not-for-profit organisation dedicated to supporting and promoting the 4,500 tri-service Reservists and 14,600 Cadets across the seven counties of the South West (Cornwall, Devon, Somerset, Dorset, Gloucestershire Wiltshire, the City & County of Bristol) plus the Channel Islands, as well as providing support and assistance to the employers of Reservists and Cadet Force Adult Volunteers.


As an organisation we engage with the community in order to improve understanding of the roles and needs of the Armed Forces in general and the Reserve and Cadet Forces in particular.

We are dedicated to raising awareness of the contribution they make to the nation and our region.

Most importantly, we ensure that the outstanding contribution made to the local community by members of the Reserve and Cadet Forces is recognised and celebrated by the local community.

The salary is £22,220 per annum. We offer hybrid working.

Annual leave, excluding public holidays, is 25 days per annum rising to 30 days after 5 years service. Previous service in the public sector will count towards qualifying years' service.

The successful applicant will be eligible to elect to join the Council of RFCAs Pension Scheme. This is a Career Average Revalued Earnings (CARE) Scheme.

GENERAL

  • Wiltshire Army Cadet Force's (ACF's) Administration Officer One (AO1) is a full time employee of the Wessex Reserve Forces' and Cadets' Association (Wx RFCA) and is a Crown Servant. As a member of the Permanent Support Staff (PSS), he/she is responsible to the Cadet Executive Officer (CEO) of Wiltshire ACF for Office Management and administration within the County's Headquarters based in Devizes (SN10 2FE).
  • The job is based in Devizes (SN10 2FE) and successful applicants will be required to live within easy commuting distance.

RESPONSIBILITIES AND DUTIES

Responsibilities and duties of AO1 include:
a. Managing clerical activities within the County Headquarters Administration Office.

b. Coordinating day-to-day administration for Wiltshire County's ACF.

c. The provision of routine clerical support.

d.

Inputting and managing all County entries for Cadet Force Adult Volunteer Career Management and Pay on the Joint Personnel Administration (JPA) database.

e. Handling routine enquiries from Wiltshire County Cadet Force Adult Volunteers, Cadets, their parents/guardians/carers and the general public. Advise and render support and administrative assistance in accordance with current guidelines and Westminster's New Joiner Tracker (NJT) process.

g. Dealing with incoming mail, prepare outgoing mail and maintaining a postage account.

h. Indenting for and controlling all stationery/photocopying requirements and office maintenance needs for County HQ and ACF Detachment outstations.

j.

Dealing with all Wiltshire County Cadet Force Adult Volunteer and cadet recruitment enquiries and the induction process for all Adult Volunteers, using Westminster's New Joiner Tracker (NJT) system.

k. Daily Westminster (Cadet Force MIS)

IT system user:
input data, maintain records, produce reports and interrogation of system for information on adult volunteers or cadets.

m. Maintain required ACF contact lists.

n. Provision and control of PSS and Cadet Force Adult Volunteer Ministry of Defence (MOD) Identity Cards.

o. Controlling and co-ordinating the mandatory Annual ACF Detachment Inspection programme.

p. Receipt and process all Accident Reports (AF510's) and maintain a log of all accidents and incidents reported.

q. Being familiar with and covering the responsibilities of AO2.

r.

Other administrative duties as tasked by CEO consistent with the general duties required of the job's position and grade, including support to the CEO in respect of meeting and greeting of visitors to the Headquarters, to include the provision of administrative support to all key meetings held a Devizes Headquarters.

s.

Perform duties in a manner that is compatible with safe working practices and in accordance with the Chief Executive, Wessex RFCA's SHEF Policy Statement.
