Description
We are looking to recruit a part time receptionist/administrator to join our team. We pride ourselves on being a friendly inclusive workplace offering support and potential for growth.

1pm - 6pm (1.30pm - 6.30pm on rota basis)


Duties:


  • Greet all patients on arrival ensuring all patients are checked in either manually or via the patient touch screen
  • To answer the telephone dealing with or redirecting enquiries.
  • To handle all face to face general enquiries, referring where necessary.
  • Make new and follow-up appointments.
  • To be responsible for the call and recall of patient lists as instructed by the practice management team.
  • Responsible for dealing with messages from patients/clinicians or external bodies. To take appropriate action where required.
  • Record requests for home visits and ensure that they are recorded and passed onto the duty doctor on call.
  • Process prescription requests in line with practice policy.
  • Register new patients - following practice policy. Enter information onto the computer and complete Registration Link process.
  • Summarising patient record in line with practice protocol.
  • Manage electronic links, ensuring timely movement of incoming and outgoing records.
  • Open mail and distribute as appropriate.
  • File medical records.
  • Scan/code hospital reports and letters. Ensuring that the scanning of patient's correspondence is always kept up to date.
  • Facilitate completion of reports for outside agencies
  • To carry out patients/GP Registrar surveys
  • Maintain computer database including the patients PDS records.
  • Maintain supplies of stationery available in reception area.
  • Care Navigate patients to appropriate services including Minor ailment, extended opening hours and walk in centers etc.
  • Ensure that there is enough supply of stationary in all consulting rooms.
  • Booking of specialist clinics.
  • Log outgoing post/mail as necessary and take responsibility of posting at the end of the day.
  • Leave reception area tidy and ready for incoming colleagues.
  • Staff working in the evening, to make sure that the premises are fully vacated by patients via checking public areas. Ensuring that the premises are securely locked including windows and to turn on the security system if last person to leave the premises.
  • Undertake any other duties as instructed by management.

Person Specification

Receptionist/Administrator

ESSENTIAL

  • GCSE or equivalent.
  • Previous reception experience in a similar setting and ideally general practice.
  • Experienced in providing information and advice to patients/relatives.
  • The ability to exercise judgement when dealing with patient enquiries /problems.
  • Excellent Computer Skills.
  • The ability to manage own workload and act independently.
  • Excellent communication and interpersonal skills.
  • High degree of accuracy with regard to patient correspondence and filing.
  • Sensitivity and empathy with people from different backgrounds.
  • Good standard of literacy and numeracy.
  • Ability to work without close supervision.
  • The ability to work to a professional standard
  • Able to provide advice and information in a polite and courteous manner.
  • Ability to complete tasks to deadlines and to a specified standard.
  • Ability to be flexible in approach to work.

DESIRABLE

  • Further education or vocational training
  • NVQ in Administration
  • Experience gained in a healthcare environment.
  • Customer Service Training or formal reception training
  • Knowledge of system1

Job Type:

Part-time hours: 25 per week

£11.00 per hour
