- Support the Service Manager and Service Supervisor by handling customer calls, asking the right questions to enable accurate and timely responses
- Submit all warranty repair orders within 14 days of job completion
- Manage the full invoice‑processing workflow, including opening and closing service jobs
- Raise and process Purchase Orders, ensuring timely approval for payment
- Prepare customer quotes using the Reynolds & Reynolds system
- Liaise with sublet contractors to coordinate work and confirm service details
- Allocate technicians' hours to repair orders accurately
- Complete weekly timesheets and maintain organised, up‑to‑date filing
- Proactively identify and recommend process improvements
- Ensure all tasks comply with relevant OH&S requirements
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Demonstrated experience providing administration support within a mechanical or technical service department
- Confident communication skills with the ability to liaise effectively with internal teams and suppliers
- Experience using the Reynolds & Reynolds system (highly regarded)
- Ability to generate service reports and interpret system data
