The Role
Currently available as a 0.5 FTE position.

This is a hybrid role where you will be required to come into the office once a month or more as deemed necessary by your line manager to provide an effective and efficient business support service to all areas of the SAFA team, supporting both the management team and technical team in delivering their business and regulatory obligations.

The 2.5 working days can be flexible and agreed with your line manager after discussion.


Core Accountabilities

  • Provide meeting support (i.e., capturing minutes, assisting the team to develop agendas, collate and circulate papers, prepare and circulate Action/Decision log, etc.) and the organising of meetings including all the logistics (i.e., catering, venue booking, etc.)
  • Ensuring technical enquiries are directed to the appropriate member of the team, or where appropriate using initiative / knowledge / judgement to deal with firsthand.
  • Supporting the moderator by conducting quality checks for ramp inspection reports entered into the Ramp Inspection Tool, to include the uploading of evidence and approval of inspection reports (as appropriate)
  • Provide business support as required on special projects and in support of the SAFA team.
  • Responsible for managing and updating relevant records and electronic filing of CAA records and decisions using appropriate naming conventions in line with CAA records management policy ensuring accuracy for regulatory purposes.
  • Providing support to the SAFA team in the collation and delivery of data and information as required by the management team or technical experts.
  • Distribution of safety and regulatory related information as required.
  • Providing support in preparation for and attendance of team training sessions
  • Other adhoc business support tasks when required.

About You

To be considered for this role you will be able to demonstrate the following:

  • An interest in and/or experience of working in an aviation environment would be advantageous.
  • A pleasant, courteous manner and ability to research, assimilate and provide information is essential.
  • Proven time management skills including an ability to effectively prioritise in a busy environment to meet business needs and customer needs.
  • Methodical and organised with attention to detail.
  • Keyboard skills for database entry.
  • Excellent communication skills, both written and verbal, with a variety of internal and external people, including people whose first language may not be English.
  • Produce good quality, accurate work to deadlines.
  • To work effectively in a small team, the post holder must be prepared to be crosstrained and share administrative tasks including routine administrative duties.
  • Proficient operator of Microsoft Word, PowerPoint, and Excel. To work to set formats or design suitable formats to suit the requirements of the task is essential.
  • Will and able to perform a variety of office functions (flexibility), demonstrating sound administrative skills and be able to switch form one task to another quickly.
  • Confidence to ask questions and seek resolutions.
  • Exercise appropriate confidentiality, diplomacy, tact and discretion
  • Ability to work effectively under pressure.

Additional Information
