RESPONSIBLE FOR:


  • Providing administrative support to the Community Substance Misuse Service.
  • Providing a reception service to service users and their family and carers.
  • Accurate recording and documentation of information

WORKING RELATIONSHIPS:


INTERNAL:

Data Administrators, Senior Administrators, Recovery workers, Nurses, Specialist Recovery Workers, Medical staff, Volunteers, Recovery Champions, Team leaders, Inclusion Managers


EXTERNAL:


GP's, Prisons, Probation, Police, Primary and Secondary healthcare services, Health and Non Health related professionals, Education, Employment and Training agencies, Housing organisations.


JOB PURPOSE:


- To provide comprehensive secretarial and administrative support to the Community Substance misuse Team and a reception service to service users their families and friends

ORGANISATIONAL STRUCTURE:


KEY DUTIES AND RESPONSIBILITIES:


  • Provide a full secretarial service to the team.
  • Generate batch prescriptions, checking for accuracy for North Hampshire
  • Preserve and uphold confidentiality of all client information.
  • Maintain filing systems.
  • Be responsible for receiving incoming post and deal with any items where appropriate. Bring to the attention of team members any items relevant/appropriate for them to see/action.
  • Be familiar with the confidential referral system operated by the team. Supervise the operation of the system.
  • Prescription generation and ensuring controlled drug stationary is stored according to protocol.
  • Provide callers G.Ps, other professionals, staff relatives, drug users, other agencies with educational information and selfhelp materials. Take responsibility for monitoring stocks and reordering these materials.
  • Carry out the requisitioning procedure for office equipment, clinical equipment and resource materials. Supervise requisitioning of such items.
  • Provide secretarial support to committees and meetings as appropriate.
  • Provide administration duties at meetings. Prepare and take minutes where appropriate.
  • Operate petty cash system.
  • Be prepared to assist team members with clinical aspects of their work where appropriate.
  • Undertake other tasks as may reasonably be requested.
  • Supervising Band 2 administrators where appropriate
  • Be prepared to work some evenings and weekends
  • Take a significant part in placing advertisements and supporting recruitment campaigns.

  • To contribute to the development of systems and interventions as and when required.
  • To use I.T. equipment as provided by Inclusion and to include Illy (or any other introduced) and accurately record all required information.

  • To identify training needs and utilise supervision effectively.
  • To be aware of boundaries at all times.
  • To be responsible for identifying individual training needs and keep abreast of new trends

  • To effectively communicate and work collaboratively with a range of people including service users, colleagues, prison staffs, external partners/providers to ensure the service users' needs are met.
  • To work within and promote an integrated drug and alcohol recovery service.
  • To be professional at all times, including whilst representing Inclusion at internal and external events.
  • To take part in appropriate training and development; to demonstrate local work routines to new starters or temporary staff.

PHYSICAL DEMANDS OF THE JOB

  • To use IT and visual display equipment on a daily basis.
  • To attend training and meetings in different geographical areas from the service
  • To work flexible hours in line with service needs (i.e. evening and weekend as and when required).

MOST CHALLENGING / DIFFICULT PART OF THE JOB

  • To be responsible for your own security and safety and be fully compliant with trust policies.
  • Accurately generating batch prescriptions for North Hampshire for three sites

JOB STATEMENT:


Infection Control


Maintain an up to date awareness of the infection control precautions relevant to your area of work and implement these in practice.

As a minimum, this must include hand hygiene, the use of personal protective equipment, the use and disposal of sharps and communicating the importance to patients, prison staff and other health care staff you are working with.
