Description

Purpose of the role:

To assist and provide day to day operational support including the supervision of staff and care packages.


Duties and responsibilities:


To ensure the delivery of quality domiciliary care services, in accordance with RQIA minimum standards, and in line with HSC Trust contractual requirements.

Compiling of rotas for the delivery of care contracts and co-ordinate effectively to ensure the smooth running of service.

Assist with client's care planning and risk assessments, to ensure high quality, safe care is sustained.


Assist with monitoring and quality assurance for given contracts, passing on concerns that arise and ensuring appropriate professional bodies are informed where required.


Assist in the recruitment and selection of care staff in line with the company's recruitment and selection policy ensuring that RQIA and company standards and expectations are maintained throughout this process.


To participate in formal supervision sessions for staff and team meetings, bringing any issues the Care Manager when they arise.


To work with and implement administration systems and procedures with guidance from Care Manager within Ardmonagh Family & Community Group.


Ensure all staff files are kept up to date paying particular attention to ensuring the relevant documents and information are in place prior to commencing role.

Initiate and maintain excellent service user contact, facilitating service users to assess quality and make improvements/changes where required. Ensure that any required changes are clearly communicated and agreed with relevant professionals.

Liaison with appropriate health and social care professionals in relation to care provision. Managing this independently and taking responsibility to ensure these standards are maintained through office, and on call periods.

Ensure communication through on call periods is consistent and appropriate to RQIA and HSC Trust standards. This includes the reporting of incidents and concerns and ensuring this is done within the allocated time frames.

Support and mentor the team, ensuring all support is considerate of personal circumstances and consistent with all team members.

Ensure that company policies and procedures are followed with all circumstances and appropriate approval sought for any changes being made.

Seek management support where there is lack of understanding.

Provide emergency cover on rota where necessary to ensure ongoing care provision for clients.

Supporting staff via on call system that will include evening and weekends.

To assist in service evaluation processes that support the quality assurance process and enhance the monitoring of services.


To participate in regular team meetings with Manager and communicate clearly any areas they wish to be within the agenda.

To work with administration systems/invoicing and procedures with Manager and Finance staff within Ardmonagh Family & Community Group.


Governance Responsibilities
Liaise with relevant statutory, voluntary and independent sector organisations as required in line with the respective guidance from commissioning HSC Trust to ensure the smooth running of service

Maintain clear records of work undertaken and ensure paperwork management is efficient throughout the team.

Ensuring that clients records are monitored monthly and any issues identified promptly addressed with staff.

Ensure the effective implementation of induction processes for all staff.

Participate and support staff in the supervision process in line with company policy and procedure.

Contribute to the current needs of the service, ongoing assessment of service delivery and development.


Ensure that all necessary documentation required by regulators is completed to a high standard and is available upon request for inspections, checks or interviews.


Stay informed and updated on all relevant guidance, legislation and law in regards to the provision of care services including but not limited to the Safeguarding of Adults and Children.

Adapt and improve the service where required to ensure a high quality approach is implemented throughout the team.


General Responsibilities

The post holder will be required to:

  • Ensure the policy on equality of opportunity is promoted through his/her own actions and those of any staff for whom he/she has responsibility.
  • Co-operate fully with the implementation of the Health and Safety arrangements, reporting any accidents/incidents/equipment damages to his/her manager, and maintaining a clean, uncluttered, and safe environment for children and staff. Reporting of incidents should also be completed with regulatory bodies where required.
