Job summary:


To provide accurate, efficient and punctual medical records administration to patients and staff by way of both data input and extraction from the Shore Medicals designated clinical system.

To liaise with healthcare professionals, staff members, patients, solicitors and other external organisations to assist with the resolution and administration of queries.

To work as part of a team helping with the successful running of a busy GP Practice. To provide excellent customer service and project a professional image for the Surgery. To work effectively with and provide support to other colleagues within the Surgery. To become proficient and develop a thorough knowledge of Practice procedures.

  • To provide a high quality administration service to the practice and its patients.
  • Dealing with patient queries by phone.
  • Coding information into the practice clinical system.
  • Update patient records in a timely and accurate manner.
  • Processing patient links
  • Processing relevant paperwork for PCSE.
  • Registering new patients.
  • Reconciliation of medical notes for new patients.
  • Filing medical notes accurately
  • Processing patient record deductions
  • Process temporary patient records and return to PCSE
  • Manage all patient requests for medical records, reports and letters
  • Process insurance reports requests
  • Organising private medicals, such as DVLAs and Taxi medicals
  • Liaise with coroners and GP following request for coroner report
  • Liaising with healthcare professionals, staff members, patients, solicitors and other external organisations to assist with the resolution and administration of queries.
  • Answering the telephone and assisting receptionists with queries as required.
  • Keep GPs informed of updates as necessary.
  • To work confidentially at all times.
  • To undertake additional tasks as required by the line manager or GP Partners.

  • To comply with the Health and Safety at Work etc. Act 197
  • To take responsibility for their own health and safety and that of other persons who may be affected by their own acts or omissions.
  • To ensure you are fully trained and conversant with fire regulations and health and safety and understand what to do in an emergency.

  • To carry out at all times their responsibilities in line with Equal Opportunities Policy and Procedure.
Risk Management and Clinical Governance

  • To work within the Clinical Governance Framework of the practice, incorporating Risk Management and all other quality initiatives and all aspects of CQC implementation.
Confidentiality

  • To maintain confidentiality of information relating to patients, clients, staff and other users of the services in accordance with the Data Protection Act 1998 including outside of the work environment. Any breach of confidentiality may render an individual liable for dismissal and/or prosecution.
Safeguarding

  • Whilst in post, Staff are expected to acquire and update their knowledge on safeguarding as per the Intercollegiate document requirements and MMP policies.

We value flexibility, so there is an expectation that you you'll be willing to work overtime when additional cover is needed for holidays and staff absences, etc.

You may be required to work at other locations as reasonably requested.
