An exciting opportunity has arisen within the Clinical Photography team as a band 3 administration support assistant.


We are looking for an enthusiastic, motivated individual with excellent typing, organisational and interpersonal skills to work as part of our small team.


You will work closely with all members of Medical, Nursing, Divisional Management, administration, clerical staff and Clinical Photography teams, along with patients and visitors, supporting the work of the department in the provision of an efficient and effective office service.

The post holder will be required to
- undertake duties as appropriate including reception,
- meeting and greeting patients,
- distribute and file documents as and when required.
- answer telephone enquiries and
- assist in the co-ordination of the team diaries.

  • Act as a chaperone with patients undergoing Clinical Photography.
- book patients demographics into the Trusts Image Management System,

  • Sourcing information from Trust Systems including iPortal and Medway.
  • There will be occasional indirect exposure to distressing or emotional circumstances / images.

  • There is a requirement to exercise judgement when responding to external and internal telephone queries from staff, patients and other health care professionals and to calls relating to Booking appointments.
  • Plan and organise own tasks, plan and prioritise own workload and arrange meetings along with patients' appointments for the Clinical Photographers.
  • Ensuring incoming and outgoing correspondence is dealt with in a timely manner.
  • Maintaining a efficient appointment booking system in accordance with Trust policies and procedures
  • Have dexterity, coordination for keyboard skills or equivalent.
  • Responsibility for Patient/Client Care Provide information to patients, relatives and carers relating to appointments
  • Maintain and reorder supplies as and when required
  • Follow departmental policies and administrative practices to continually improve service delivery
  • May be involved with the timely resolution of verbal complaints, in line with the Trust's Policy and Procedure for the Handling of Complaints
  • May be required to demonstrate own tasks to new starters.
  • To maintain good working relationships and work as an effective team member.
  • To ensure own work is of a high standard
  • To participate in annual PDR review, ensuring all Mandatory and relevant training is up to date.
  • Responsibility for taking minutes of meetings.
  • Required to take part in survey e.g. staff attitude surveys as required.
  • Required to work within standard administration procedures.
  • Will be required to sit in constrained positions when processing and filing.
  • Concentration would be required when on the telephone Data input, Booking in / out and checking of work.
  • Occasional indirect exposure to distressing or emotional circumstances / images.
  • Required to use a computer for a large portion of the day.
  • During the course of their duties will be required to use all forms of office equipment, printers/photocopiers, filing systems etc. The post holder will be required to cover absence as required. Will be exposed to internal and external post.
