Position Overview

Responsibilities

  • Diary management across multiple time zones
  • Managing international and domestic travel booking
  • Expense claims and invoice processing
  • Manage and maintain client records and visit reports on CRM
  • Administrative work relating to projects e.g. document formatting, organising meeting logistics, researching venues, dataroom management
  • Liaising with client contacts to set up meetings
  • Managing RGA Group conference bookings (e.g. GFS Symposium, Management Retreat, Actuarial Conference) and travel
  • Assisting with the creation of and formatting of PowerPoint presentations
  • Organising GFS internal events such as the annual EMEA strategy week, quarterly management updates, team socials acting as the main point of contact for suppliers, hotel contract managers etc, client dinner and events.
  • Ad hoc filing and administration tasks
  • Provide ad hoc support to the rest of the GFS team leadership team
  • Establishing a close working relationships with UK colleagues and build a solid network of Assistant contacts in global offices

Requirements:


  • 5+ years administration support experience as a team assistant or personal assistant, preferably in the financial or professional services industry
  • Experience in working closely with Senior Executives
  • Intermediate to advanced level in Microsoft Office Suite (including Word, Outlook, Excel and PowerPoint)
  • Excellent written and verbal communication skills
  • Excellent interpersonal skills, both facetoface and on the telephone
  • Team player with a willingness to be flexible with working hours as workloads and tasks dictate
  • Efficient with excellent organisation skills and ability to plan and prioritise workload and multitask
  • Methodical and meticulous high attention to detail and follow through
  • Customer focused; with the ability to develop relationships with both internal and external clients/customers
  • High level of "can do" values brings solutions rather than problems
  • Highly motivated with ability to work on own initiative and to deadlines
  • Competent in dealing with difficult situations, and the ability to work well under pressure
  • Maintain confidentiality and discretion at all times
