We are recruiting for an organised and people-orientated administrator to join our team.

This important role involves front-of-house duties at our Newry training centre, and general administrate support for our busy service provision.

General

  • Ensuring that all data entered into HM's training management system is accurate and suitably comprehensive.

Assuming responsibility for the effective coordination of the Newry training centre


This includes:


  • Front of house receiving clients/guests in a professional manner.
  • Front of house coordinating registration for training courses, updating attendance records, and contacting nonattendees.
  • Managing the onsite parking provision
  • Maintaining and developing key relationships with colleagues, independent contractors, clients and suppliers, ensuring compliance with Health & Safety regulations and visitor requirements whilst on site.
  • Coordinating client and guest refreshments.
  • Receiving and distributing incoming mail.
  • Ensuring all returned training packs to the Newry training centre are logged and, after that, distributed to the appropriate administrator.
  • Ensuring all equipment within the Newry training centre is fully maintained, serviced, and correctly logged.
  • Ensuring a suitable level of supplies exists to facilitate successful service delivery.
  • Regularly review suppliers, seeking competitive pricing on products and resources prior to purchase.
  • Ensuring the Newry training centre is presentable for clients/guests and that rooms are set up before welcoming them.
  • Working closely with colleagues based in Belfast, ensuring a high level of service continuity and provision on site.

Support

  • Assisting the wider administration team during periods of high demand or covering during periods of absence.


The duties listed are not exhaustive and may be varied from time to time as directed by the changing needs of the business.

The post holder will be expected to undertake other reasonable duties as appropriate and as management requests.


Job Types:
