An exciting opportunity has arisen for an enthusiastic and highly organised Band 3 Medical Support Secretary (15 hours per week) to work in the Perinatal CMHT.

We are seeking an admin support secretary with a can-do attitude who enjoys working in a large team and demonstrates a commitment to delivering high quality administration support in an efficient and timely manner.

The successful applicant will have excellent communication and organisational skills and have a broad range of administration and secretarial experience, being able to work with initiative and sometimes under pressure.

The post-holder will work as part of a dynamic team supporting medical secretaries, consultants, clinicians and team managers in the smooth running of the Perinatal service.

The successful applicant will work directly with the consultant, providing secretarial duties and co-ordinate and facilitate the dissemination of information to and from the team and be required to deal efficiently, precisely and courteously with telephone calls from service users as well as health professionals.

To support the Medical Secretary in providing a comprehensive administrative service to Consultant Team.

The Medical Support Secretary will undertake general office duties including the typing of medical and other correspondence, actioning any requirements identified within the typing.

They will answer and manage calls from patients and their carers / relatives and other health and social care professionals.


This will entail working flexibly and providing and receiving confidential and sensitive information written, oral or verbal to be exchanged with patients/clients, relatives, staff or external partiers.

The support secretary will work as part of a centralised, joint administration team who support a wider team of clinicians/consultants.

Work is pooled and shared within the administration teams, rather than work being specifically undertaken for an individual clinician/consultant.

Although the base is listed as above there maybe occasional requirement to travel across the wide footprint of the Trust to attend meetings and events relevant to the role as well as work in other clusters.


  • Provide first point of contact for written and telephone enquiries on behalf of your consultants, using judgement to establish validity and priority of the contact.
  • Undertake audio/clerical duties for your consultants, including minute taking as required, clinical letters, reports, discharge correspondence and clinical activity data inputting. This may include administrative support relating to consultant tutorial work.
  • Deal with any patient enquiries using judgement and observing patient confidentiality at all times.
  • Liaise with General Practitioners regarding clinic and domiciliary visits.
  • Liaise with outside agencies, including Social Services, Coroner's Office, other hospitals, medical services, clients and their relatives using their knowledge and judgement of any given situation.
  • Liaise on behalf of your consultants with multidisciplinary team members with regard to requirements for joint outpatients' work/care programming activity.
  • As directed by your consultants, record activity onto appropriate medium, meeting all required deadlines.
  • Track all service users from referral to discharge ensuring all appointment and correspondence are within local and national targets.
  • Ensure all discharge summaries are generated and sent to General practitioner within agreed timeframes.
  • Check the patient's status, follow up appointments etc have been booked when mentioned in correspondence / discharge correspondence using the EPR systems, ensuring demographic details are correct and amend where necessary
