Role:

New Community Ventures is excited to open recruitment for an Operations Assistant at Central Hall, one of the largest event venues in Southampton.

This is an exciting opportunity to assist us to deliver quality events, host and welcome businesses, charities and other significant clients to our conferencing facility.

You will also work with our facilities team on matters relating to compliance and Health and Safety. You will also work with the Events Manager and Finance team regarding quotes, invoices and payments.


We are looking for an individual who enjoys a varied workload and understands that one minute they could be writing a risk assessment and the next minute setting up chairs and tables for a client This is not just a desk job.

The nature of our building and business means that you will need to prioritise tasks whilst understanding that plans may change at any time throughout the day That said, we do try and work in a calm and organised environment.

Hours:
Monday - Friday 09:00 - 17:00. Saturday and evening work may be required for events.


Responsibilities:


  • Assist the team to deliver a schedule of events, conferences and meetings to the highest standard
  • Liaise with clients regarding booking details and relay our terms and conditions of use
  • Respond to enquiries from clients in a timely manner
  • Oversee the bookings calendar
  • Assist in setting up rooms for clients (you will need to be able to lift plastic tables and chairs)
  • Book staff according to the booking requirements
  • Act as a Duty Building Manager for small scale bookings
  • Assist in daily, weekly and monthly compliance checks
  • Liaise with the maintenance team on compliance matters
  • Undertake weekly fire alarm checks with the maintenance team
  • Ensure that we adhere to all Health and safety practices in our operations
  • General administration duties
  • Act as a Duty First Aider (training provided to the right person)
  • Act as a licencee (training provided to the right person)
