Primary Eyecare Services (PES) is an established provider of high-quality extended eye care services (those beyond sight testing) utilising a large network of optical practice subcontractors across England (~2500).

PES currently holds and manages contracts on behalf of the primary eye care network, spanning more than 28 integrated care systems and delivering over 450,000 episodes of patient care each year with a total annual turnover of ~£25+million.

PES is a not-for-profit company, limited by guarantee. This sees the majority of generated income pass through to frontline eye care services in optical practices.


Role Purpose:


The Operations Support Officer will work within our Operations Directorate supporting day to day operational tasks and supporting the needs of our referral hub.

Their primary responsibility is to ensure the smooth functioning of company operations by providing administrative and operational support within the operational team.

They will work in collaboratively with Operations Co-ordinators and will be accountable to our Senior Operations Management team. They will work alongside our Senior Referral Management Clerks and Communications Support Officer.


General Responsibilities:

The duties of the Operations Support Officer will include:

  • Handling customer complaints and resolving operational issues
  • Approving optical practices and practitioners on the service IT System (OPERA)
  • Coordinating and supporting operational tasks such as organising meetings, booking hotels and supporting travel arrangements.
  • Coordinating with other departments to ensure smooth operations.
  • Any other administrative duties as required, including service failsafe support
  • Supporting operations coordinators with the implementation of operational and HR policies and procedures.
  • Support the Referral Management Clerk team providing resilience as required

The Operations Support Officer will demonstrate the following skills and abilities:

Qualifications:Minimum of 5 GCSE's

Communication Skills:The ability to communicate effectively with team members, stakeholders, and patients is essential in addition you should be able to clearly articulate information and instructions both verbally and in writing.

Problem Solving Skills: Strong analytical skills and be able to identify and solve problems in a timely and efficient manner. To be able to make decisions based on available data and make recommendations to the team.

Organisational Skills: Should be highly organised, able to manage multiple tasks and priorities, and have a strong attention to detail. You should be able to manage your time effectively and work independently to complete tasks.

Technical Skills: You should be proficient in using various software and tools, such as Microsoft Office, project management software, and customer relationship management (CRM) software.

Adaptability: Be able to adapt to changing priorities and be flexible in their approach to work. They should be able to work under pressure and handle unexpected challenges.

Teamwork: Work effectively as part of a team, collaborating with other team members and departments to achieve common goals. Be able to build strong relationships with colleagues and stakeholders.

Customer Service: Operations Support Officers should have a strong customer service orientation and be able to provide support to clients in a timely and professional manner. They should be able to listen actively to clients' needs and concerns and provide appropriate solutions or recommendations
