£10.42 p/hr rising to £10.90 p/hr after the probationary Period


Job Summary:


  • Ensure that all contacts from patients and third parties, over the telephone and electronically, are greeted in a friendly helpful manner and handled courteously, efficiently and confidentially at all times.
  • Ensure that all requests and enquiries are handled courteously, efficiently and in line with practice policies and procedures.
  • Ensure that the filing and recording of patient information both electronic and manual is promptly handled with care and in line with practice policies and procedures.
  • Help to ensure that the surgery premises are kept safe and tidy at all times.
  • Support the clinicians in their role.
  • Alert a supervisor or manager to any problems or concerns from staff or patients when necessary.


Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.


Experience and skills

Main Activities, Duties and Responsibilities:


The admin team at Hereford Medical Group site carries out a variety of functions and staff working in admin will, after a period of training, be expected to have a range of skills.

All HMG Electronic and paper mail is received by the admin team along with patient notes from Primary Care Services England.


  • Opening, processing and distributing incoming post
  • Scanning, taking into account of colour, paper size, and multipaged documents, into patients' notes and workflowing accurately and correctly.
The scanner will identify, in line with agreed written protocols:

- a) documents for coding and filing directly into notes
- b) documents which need to be work flowed for action, coding information as needed

  • Summarising and filing notes from Lloyd George record and GP2GP
  • Coding medical conditions
  • Patient registrations and deductions
  • Patient notes management, retrieving and archiving records as required, adhering to strict alphabetical order
  • Print out computer records for temporary patients
  • Operating the Cervical Cytology call and recall system and relaying to patients test results typing skills are desirable
  • Monitoring and processing NHS Emails
  • Processing and invoicing private medical forms
  • To have a thorough knowledge of all Practice procedures.
  • To work in accordance of written protocols
  • Recording blood pressures and following hypertension protocol
  • Managing website submissions and communications
  • General administration
  • Undertake any other additional duties appropriate to the post as requested by the Team Leader, Senior Management Team or Partners.
