Job objectives and responsibilities
-
Reporting to the Service Desk Manager, providing administrative support to the 4 service desk teams, Reactive, PPM,ADHOC and finance.
Responsibilities will include but not be limited to:

Work order management
-
Upkeep of relevant CRM (Maximo)
-
Supply chain management
-
Input of engineer timesheets into finance system
-
Engaging with site teams for updates and update of system
Main duties
-
Effectively monitor delivery of reactive works and ensure contract SLA's
-
Allocate and dispatch reactive work orders to appropriate engineers/supply chain
-
Extract system reports to identify the current flow of work orders from CRM to enable correct and timely allocation.

Manage supply chain activity to ensure timescales/KPI's are met
-
Ensure work orders are completed to meet the contractual timescales
-
Raise/approve supply chain purchase orders where appropriate
-
Responsibility for Outlook Inboxes daily
-
Undertake any additional duties or responsibilities that are deemed required by the business in supporting the daily operation of the contract.
Person Specification/Knowledge/Skills
-
Experience of using CRM system (preferable Maximo)
-
Experience in a FM environment would be desirable but not essential
-
Good administrative and organisational skills.
-
Excellent communicator at all levels.
-
Polite and confident telephone manner.
-
Ability to multi-task and work under pressure.

Team player
- Ability to work alone or as part of a team.

IT literate
- Excel to at least intermediate level
Ability to prioritise workload and manage change effectively

Attention to detail.

Health and Safety responsibilities
- Follow Group and company policies and procedures at all times;
- Report any apparent deficiencies in systems of work or equipment provided that may result in failure of service delivery or risk to health and safety or the environment;
