We are looking for a Talent & People Assistant to join the Talent & People team in Havas Kings Cross (HKX).


Your Core Responsibilities;

  • Providing effective administration and support services on behalf of the Talent & People (T&P) team
  • Admin and service delivery, covering the employee lifecyle from onboarding to processing leavers

Your Main Tasks;

General HR Support

  • Provide Business Unit Leads/Directors/Line Managers with the required reminders for effective management of their teams. These include end of Probation assessments and annual reviews
  • Provide support in creating and maintaining letter templates for all T&P interventions such as salary changes, promotions, reviews, maternity/paternity leave etc
  • Complete and issue letters such as those listed above to the relevant employees
  • Provide first line advice sign posting, giving accurate information on process and procedure
  • Provide administrative support to the People Operations Manager
  • T&P with carrying out maternity plan meetings and providing guidance on remuneration and benefits during maternity
  • Providing administrative support in updating HR policies and procedures

Systems

  • Keep the HRIS up to date with the correct employee personal information
  • Ensure all new starter details and leavers are processed through the HRIS accurately
  • Upload returned contract documentation onto HRIS and create electronic copy files for all new starters
  • Ensure HRIS is updated with all changes to employees' data throughout their tenure
  • Work alongside T&P Team to ensure the relevantSharePoint pages are kept up to date and relevant
  • As and when required, enter data into required spreadsheets aligned to the appropriate process

Reporting

  • Support the T&P team in providing reports on a range of HR aspects such as retention, turnover, absence, Learning and any Havas Group reporting
  • Support in providing analysis reports on exit interviews
  • Support the People Operations Manager
  • T&P with the annual employee survey and assist with collating the output data from the survey

New Starter Process

  • Ensure all administration aspects of the new starter process are effectively managed and completed in a timely and accurate manner
  • Send Welcome letter and documentation
  • Provide IT/Building services new starter information to ensure timely set up on all relevant systems
  • Supporting booking of new starter learning events held during an employee's induction phase

Leavers

  • Effectively process leavers in a timely fashion and ensure Payroll deadlines
  • When required, carry out Exit Interviews record responses for analysis
  • Calculate payments due and or owing to leavers and ensure the HRIS/Payroll has the correct information for final pay processing
  • Ensure IT/Building services are made aware of any leavers as appropriate to ensure the effective management of their leavers process

Employee Benefits

  • Process employees to ensure they are set up on the pension scheme and Private Medical Insurance scheme
  • Arrange advisory meetings with the nominated Independent Financial Advisor (IFA).
  • Support in promoting benefits through the required communication medium such as team meetings, the SharePoint or word of mouth to ensure all employees are fully informed of all benefits and are notified of any changes to include updating any relevant material

Payroll

  • Support in administering the monthly payroll by collating payroll information and entering the correct details into the HRIS ready for approval
  • Ensuring that all changes to pay are approved and accurately recorded on the required system/Spreadsheet ready for payroll processing

Recruitment

  • Gain an understanding or the Talent Acquisition (TA) process to develop knowledge in this area.
  • Provide administrative and activity support to the on boarding process as and when required. Latterly development will allow for running induction sessions.
  • Support in the coordination of interim and work experience

Self-development

  • To ensure alignment to learning and development plan to meet Apprentice scheme milestones
  • To advise of any required knowledge refresh/update to support working towards Level 3 qualifica
