Summary
My client is seeking a proactive full time Office Manager to join their small established Plumbing Firm based in Twickenham.
The Office Manager will be responsible for overseeing a small Administration Team, reporting directly to the Managing Director based in the Twickenham office.
On a daily basis the Office Manager will assist with the overall running of the business and the life-cycle of a job.
In addition, the Office Manager will be responsible for the recruitment process including advertising, interviewing, issuing all offer paperwork,on-boarding of all new joiners through to probation completion.
They will also prepare and approve the payroll for the business via a third party payroll provider.The Role
The duties include, but are not limited to:
- Creating and issuing quotes, following up as necessary
- Issuing invoices and following up as necessary
- Managing the diaries for the Managing Director, Engineers and Administration Team
- Ordering parts for jobs, as well as office supplies
- Maintaining the Company's systems (training provided)
- Issuing documents to customers/clients
- Providing the Managing Director with profit reports
- Managing the MCS process
- Creating adverts for all recruitment activity
- Conducting recruitment interviews and providing the Managing Director with a shortlist
- Preparing and issuing all offer paperwork, including employment contracts, new starter forms
- Carrying out employment reference checks
- Onboarding new starters and maintaining all paperwork
- Conducting probationary reviews alongside the Managing Director
- Collating and submitting the monthly payroll
- Reviewing/approving the monthly payroll
- Supporting the Administration Team in their day to day tasks
- Reviewing the office coverage when holiday requests are submitted
- Overseeing the smooth running of the Twickenham office
- Maintaining the office procedures
- Auditing the Company systems to ensure jobs are allocated correctly and recurring jobs are updated
- Previous Office Manager experience is desirable
- Proven experience of working within a small, but busy office environment
- Trade industry experience would be desirable
- Have outstanding customer service and communication skills and be able to communicate with people both remotely and inperson
- Have outstanding organisational skills with the capability to manage, multitask and prioritise workload efficiently
- A good work ethic and positive, cando attitude with the ability to solve problems using your own initiative
- Ability to work on their own as well as part of a team
- Proficient IT skills including a good working knowledge of the Microsoft Office packages
